Create profiles in bulk
Use a spreadsheet template to create many user profiles at once.
Creating profiles for each member of your team individually can be a long and tedious process. To save time and streamline the process, we allow you to bulk create user profiles, giving you the opportunity to have complete control over your team's profiles while minimizing the amount of time you spend getting the team set up.
As a best practice, we recommend creating all users in a management role (admins or team leaders) first. That way, when you create additional users, you can assign them to the correct team simply using their team leader's email address or custom employee ID.
Use the following steps to create new profiles in bulk:
On the Manage Team page, click Add Users and select "Bulk Create Users" from the dropdown menu.
On the Bulk Create Team Members page, download the template file.
Add a row to the template for each new member of your team you would like to add to Agent Connect.
All required and optional fields are documented later in this guide.
After entering all of the user profiles to be created, save the edited file as Unicode text or UTF-16 Unicode.
Important: Any other format cannot be uploaded.Upload the file on the Bulk Create Team Members page.
Select Delay welcome emails if you wish to delay the welcome email for this batch of users.
Click Preview, then review the data to ensure that all users were uploaded properly.
If everything looks good, click Continue to create the new users.
Once the user profiles have been created, all new users will receive a welcome email inviting them to set their password. If the profile bio, state or country, and a profile picture have not already been added for them, the new team members will be asked to complete their profiles. If all required fields were already filled in by an admin, new team members will be taken directly to the Stream after they've set a password, and they can begin sending out Connect requests!
Profile photos cannot be added in bulk. You can either create all users and add the photos to each profile yourself or have team members upload their own photos.
If you need time to get all of your team members added and photos set up before you roll out Agent Connect to your team, you can use the Delay welcome emails checkbox. Learn more in Delayed welcome emails.
Configurable fields
The following fields can be configured in the bulk upload spreadsheet (fields marked with * are required):
- *Role (conditional)
- (Only required if your organization uses custom roles) Enter one of your organization's roles for this user. The role name must match what is currently active and available within Agent Connect. If no role is specified, and you do not use custom roles, Agent Connect will use the team hierarchy to determine the role.
- *Can Manage Teams
Enter y or n to determine whether this user can manage teams, allowing them to be designated as team leaders.
- Email Address
- Enter the email address to associate with the user profile for system notifications and emails.
- Employee ID (if applicable)
- Enter an employee ID which may be used as a unique identifier for the user. Either an email address or custom employee ID are required to have a unique identifier.
- *First Name
- Identifies the user and will be displayed as part of the feedback survey
- *Last Name
Identifies the user and will not be displayed externally in the feedback survey
- Home Town
- The user's home town
- State or Country
- Used to personalize user profiles within the feedback survey
- Profile
- User bio displayed in the feedback survey to personalize the survey experience
- *Phone Channel
Enter y or n to determine whether this user can be associated with phone interactions
- *Chat Channel
Enter y or n to determine whether this user can be associated with chat interactions
- *Email channel
Enter y or n to determine whether this user can be associated with email interactions
- *Team Leader
- Select the individual who will act as the team leader for this user. The user will be associated with this team leader in reports, and the user's data will be included in the team's performance reporting.
- Employment Status
- Enter the employee's status (Full Time, Part Time, or Temp).
- Start Date
- Enter the user's start date with the company.
- Group Assignments
- List the groups to which the user should be assigned. Groups should be listed in brackets ({}) and can be comma separated.
- Temporary Password
- Set a temporary password to help the user log in, if necessary.
