Shared content

Role required: Customer Admin, Channel Admin or Pro. See Video user roles.

Shared content is a media selection tool. It lets a primary user group select media in a channel and restrict designated "Shared content" users to only access that media. Shared content users can only see the media designated as Shared while the primary user group views all media in a Video channel.

Example uses for Shared content:

  • Restrict users to only see one demographic or subset of media.
  • Vet media for Personal Identifying Information (PII) or Adverse Events before sharing with stakeholders.

A channel can only support one group of Shared content. It is not possible to create multiple selections of Shared content media (such as different countries or demographics) and allocate different users to view different media selections.

Designating shared content for users

To select individual media for Shared content users to see:
  1. On the Media Library screen, click More Actions and select Share.

  2. Navigate through media and select each media item by clicking the media thumbnail. Selected media has a check mark.

  3. Once all Shared selections have a check mark, click Save.

  4. Edit the Shared selections at any point by clicking More Actions and selecting Share.

Note: If media is uploaded to a channel on an ongoing basis, best practice is to review and update Shared content on an ongoing basis.
To use Share All:
  1. On the Media Library screen, click More Actions and select Share.

  2. Click Share All. This selects all files.
  3. Review the Share Media Confirmation modal.

    a. Click Confirm to save.

    b. Click Cancel to return to share selection.

To use Unshare All:

  1. On the Media Library screen, click More Actions and select Share.

  2. Click Unshare All. This deselects all files.
  3. Review the Share Media Confirmation modal.

    a. Click Confirm to save.

    b. Click Cancel to return to share selection.

Shared content has a Shared assets icon Shared icon on a media thumbnail's lower left corner in the Media Library. The icon is visible to all channel users except Shared content users, who do not see the Shared status icon on the media thumbnail.

Important: Best practice is to make an initial Shared content selection before setting up Shared content users. If no media is selected as Shared, a Shared content user will not see any media when they log in to Video.

Setting up shared content users

Shared content users need to be specified on a channel by channel basis. Shared content users can have a Pro or Standard user role.

Once users have made an initial Shared content selection, Customer Admins should add users to the channel and apply the Shared Content Add On role. For more information, see User management.

If your account does not have a Customer Admin, contact Video Support via Medallia Knowledge Center to request Shared content users be set up with Video access. Include the user's first and last name, email, the channel they need access to and that they should be added as a Shared Content user.
