Data Retention

A data retention policy periodically purges media and transcript files.

A data retention policy defines a period of time after which the data will be deleted and purged from the system.

Recorded media and transcripts typically contain personally identifiable data. To help ensure personal privacy and to comply with government regulations, use a data retention policy to periodically purge old files to ensure the removal of personal data.

Note: This feature allows companies to employ data management settings to conform to the European Union's General Data Protection Regulation (GDPR), and to the California Consumer Protection Act (CCPA), as well as to other laws that regulate the management of personal data and general best practices regarding the collection and protection of personal information.

Activating and defining data retention periods

Policies are defined for Video Customers, and each Customer can have its own policy, or no policy at all.

Note: A data retention policy applies to the entire Customer data set across all channels, regardless of which channel is used to access the Customer settings.
  1. Start from any Video channel. Click Settings icon and select Channel icon Channel Management.

  2. On the Channel Management screen, scroll or search for a channel in the customer group.

  3. In the Customer column, click Edit icon to the left of the customer group name to open the Edit Customer modal window.

  4. Click the Data Retention tab.

  5. Turn on Enable Data Retention Policy.

  6. Choose the length of time to retain Media and Transcript data.

    • Set the count of days, months, or years to retain the data.

    • The Transcript period must be greater or equal to the Media period.

    • The minimum period is 10 days.

    Important: The sweep process runs once per day. As such, it is possible for the data to remain in the system for up to 24 hours past the sweep time, depending on when the data were received.
  7. Click Save Configuration.
