Data Retention

Manage the data retention period for your organization.

Note: If this page is not enabled for your organization and you would like to enable it, contact a Mindful representative for more information.

The Data Retention page allows you to configure the number of days that historical data will be maintained for your organization. On this page, you can set a custom data retention period between 60 and 1,095 days (36 months), after which your historical data will be deleted. Setting a data retention policy provides more control over your organization's data, allowing you to align your Mindful data retention to your company's policies.

For organizations created in or after January 2026, a retention period of 1,095 days will be enabled by default, which you can update as needed. For organizations created prior to January 2026, the data retention policy will remain disabled until you manually enable it.

Required permissions

Only users with a specific permission in their Application Role can manage the data retention policy for your organization. The default Platform Management - Administrator role includes the required permission.

To grant the required permission to another role, first edit or create a role on the Application Roles page. In the Grant Application Access section, select the Platform Management checkbox, then select Grant this ability next to the Can Manage Data Retention Policies entry, as shown below:

After editing or creating the role, you can then apply it to any users who will need access to the Data Retention page.

Configure a data retention policy

To enable the data retention policy for your organization, follow the steps below:

  1. Open the Data Retention page.

  2. Select the Enable Data Retention Policy checkbox.

    By default, the retention policy will be set to 1,095 days (36 months).

  3. To change the number of days that data will be retained, update the value in the Current retention period field.

  4. Save the changes when finished.

    Important:

    After saving, no further changes can be made for the next 10 days. You will be given an opportunity to confirm the change before proceeding.

    After confirming, the Current retention period field will not be editable, and a message will be displayed beneath the field to indicate when the next change can be made.

With the policy in place, your organization's historical data will be removed after the specified time period.
