Managing users in Experience Cloud
Digital roles and capabilities for the entire account are configured in Experience Cloud. Out of the box Digital provides a set of default roles, which are assigned to different Experience Cloud users. The areas of Digital a user has access to depends on the assigned role and the capabilities assigned. Capabilities are assigned in Experience Cloud and can be customized for users to extend the default roles provided with Digital apps.
Roles impact all users who want to use the Digital Command Center. To see the Digital tile in Experience Cloud the logged in user must have the correct role. Users who are not assigned one of these roles in Experience Cloud do not see the Digital tile and are not able to log in.
Roles are also important for locking surveys, the survey drafts approver functionality, and the rule engine. Only users with the administrator level of capabilities can configure capabilities for other users.
Default users and roles
The primary roles configured for customers using Digital are:
- Digital Team can view surveys and the related reports
- Digital Manager can create and edit surveys
- Digital Group Manager can create, edit, publish, and lock surveys
- Digital Administrator can create, edit, publish, and lock surveys. Can also create and edit other user's settings.
The list is sorted by increasing level of responsibility.
By default, the Digital Administrator and Digital Team roles have Digital Command Center capabilities predefined.
The Digital V2 Integration populates all Digital data to these primary roles. The primary roles are assigned a larger number of reporting dashboards for a more holistic overview of their experience program. These roles also come preconfigured with the capability to access the Digital Command Center.
Customers using additional Digital packages, such as Digital In-the-Moment Customer Experience Package, have additional roles available:

These roles are assigned a more limited number of reporting dashboards out of the box.
Assign capabilities
The Digital role capabilities can also be assigned to custom roles instead of, or in addition to using the default roles. Role-based assignment is however recommended for scalability. Assigning these roles to users follows the usual Experience Cloud Roles and Permissions process.
To assign capabilities to a user, in Experience Cloud under the Users menu select the Capabilities tab and add the relevant capabilities under Member Capabilities. Once defined, the most senior capability is assigned to the user when they log in.
Define custom user roles for Digital in Experience Cloud by assigning the following capabilities:

These capabilities define user permissions with the Command Center and not correlated with reporting views in Experience Cloud.
Approver capability
For the approver capability to function as expected it is important to understand the different permissions that need to be assigned to the users who can and cannot approve drafts to be published. To use this feature there should be at least one user with the approver capability and one more users without the approver capability.
- To define a user as an approver of draft surveys in Experience Cloud, the user's Primary Role requires the Advanced Digital Survey Management capability.
- To define a user as a drafter in Medallia Experience Cloud, the user's Primary Role requires the Digital Survey Management capability.

Alternatively, it is possible to use the classic user capabilities screen to set the capabilities for a Digital user. An approver requires the Digital CX Group Manager permission and drafters require the Digital CX Manager permission.
