Reusable fields

Reusable fields in Digital allow you to determine how survey components are mapped to fields in Experience Cloud.
Important: This feature is available upon request. Ask your Medallia expert to file a Feature activation request with Medallia Support.
Every component of a Digital survey is mapped to a reporting field. These fields are used in reports that are unique for that specific survey. Reusable questions are those questions for which you want to collect answers from multiple surveys or even multiple surveys across various digital properties in your account. These reusable questions are mapped to specific reporting fields which can be used to create reports and filters on those specific questions. For example, all of the Medallia BPP questions are set as reusable questions.

When adding a new field, you are required to map the survey question to an existing reporting field or create a new reporting field for the survey question. To do this, click Field Mapping.

Field Mapping.

You can select from the following states, based on the mapping status of the component:

  • New survey component

  • An existing survey component that is mapped to a reusable field

  • An existing survey component that is mapped to an ad-hoc field

New survey component

For new survey components, determine whether the reporting field is mapped to an existing field or a new one.

Select Reuse an Existing Report Field if this component is mapped to an existing reporting field that has been defined as reusable. Once selected, you must select the reporting field to which the component is mapped.

Select Create New Report Field to create the field, then select Make this field reusable if you want to classify the field as reusable.

Note: Only those users assigned the Administrator role can see the Make this field reusable option.

If you have selected the Make this field reusable option, the following fields are displayed:

  • Reusable field name — Enter a short description of the purpose of this reusable field. This field is required.

  • Reuse in — Define where this field mapping is available.

    • This property only — This field mapping is only reusable within the property where it was created.

    • All properties in the account —This field mapping is reusable in all existing and future properties within the account.

Important: You must save the survey form for field mapping and reuse settings to take effect.

If you are mapping an existing survey component to a reusable field, Report Field Mapping contains the following information:
  • The reporting field name that identifies the field in the reporting module.

  • The reusable field name that is displayed in the mapping selection dropdown (see field description in New survey component).

If you are mapping an existing survey component to an ad-hoc field, you see the reporting field name that identifies the field in the reporting module.

Hide Alternative Options in Reusable fields mapping

In certain cases when reusing alternative options in a survey, some of the alternatives for those questions might not be suitable for a Digital program. To avoid having to create a new ad-hoc field, hide the unwanted alternative on a per form basis. The hide option only applies to "Radiobutton", "Checkbox" and "Dropdown" survey elements that are using alternatives via reusable fields.

Note:

At least two options must always available. Hiding an option does not impact reporting.

Click on the "Hide Option" next to each alternative to change if an option is hidden or not.
