Filter reference

This topic describes the filters available when configuring reports in Medallia Admin Suite.

Action Planner Display
In Action Planner module. Determines the evaluation method used (Impact, Correlation beta, or Correlation coefficient).
Action Planner Outcome
In Action Planner module. Determines which key metric is evaluated.
Alert
Filters reports by responses by alert status (Alert Filter) and type (Alert Filter Type).
Alert filter in Admin Suite
Note: This filter does not support multiple selection in the Custom module (AA2). For example, if you apply this filter to a Dashboard report with a Custom module, only the first selection of the Alert Filter is applied.
Ask Now Test
Show responses that answered a specific Ask Now.
Attention Flag
Shows responses that were flagged as needing attention (Yes), not needing attention (No), or all responses (All) when using Action Intelligence.
Attention Type
Shows responses needing one or more specific types of attention.
Benchmark
Matches responses against the specific Benchmarking configured for your company.
Calculation
Processes results by the specific Calculations configured for your company.
Calculation (Text Analytics)
Processes data in Medallia Text Analytics reports by Calculations specific to Text Analytics.

These calculations are those that have the TextAnalytics property enabled on the Reporting > Report Helpers > Calculations screen in Medallia Setup.

Columns
Selects a Segment group, which displays each segment in that group as a separate column in the report.

For more information, see Profiler or segment groups.

Columns (Profiler)
Similar to the Columns filter, but applies specifically to previous versions of Profiler reports.
Comment Field (Legacy Version)
In Text Analytics reports. Shows responses with comments in a specific field. Your company must be using Text Analytics to use this filter.
Comment Field (Strict) (Legacy Version)
Important: This filter is superseded by Comment Filter (Legacy Version).
Comment Language (Legacy Version)
In Text Analytics reports. Shows responses with comments in a specific language. Your company must be using Text Analytics to use this filter.
Comment Set (Legacy Version)
Important: Do not use this filter with Medallia Alchemy Experience Reporting. Instead, use one or more of these Text Analytics filters: Topic Filter, Individual Theme Selector, Multi Theme Selector, Individual Topic Selector, and Multi Theme Selector.

In previous version of Text Analytics reports. Filters by specific comment tag pools. To enable Theme filters in a dashboard with a custom module, include this filter in the Custom module and in the dashboard.

Note: The set of values available in the dropdown are not data-driven, and therefore are not adjusted to be valid with selections users make in other filter dropdowns. All possible values are always available, which can result in a search that returns no results, especially when combined with other filter selections. The All option cannot be disabled.
Crosstab Columns
In Cross tab reports, Pivot table custom reports, and Pivot Table modules, this filter enables users to select one or more columns in the report evaluation.
Crosstab Rows
In Cross tab reports, Pivot table custom reports, and Pivot Table modules,. Enables users to select one or more rows in the report evaluation.
Customer Effort
Shows responses with one or more levels of effort when using Action Intelligence.
Custom Filter
Filters responses by the specific see Custom filters configured for your company.
Custom Query
Creates regular expression filters in reports. If the report administrator defines a default query as part of the Custom Query filter, that query is used by default when users open the report. Use this filter primarily when complex queries are needed. For simple searches, use the Search filter.

Custom Query searches show only the first 20 entries that match your search terms. If there are many fields that match your search, you might have difficulty locating the specific records you want. For this reason, build specific search criteria in custom queries.

Customer List
Adds a Customer List dropdown to the control panel. After filtering a report, users can click in the dropdown to save the results, and then later filter a report by those filter settings, enabling users to save the filtered results as a list. This functionality is also known as cohort tracking.
Important: This filter is superseded by Customer Profiles.
Feedback Type
In Medallia Social Feedback reports. Filters by review sites or social media networks.
Feedback Type (No Combined Option)
Important: This filter is superseded by the Feedback Type filter.
Feedback Type (Social Only)
Similar to Feedback Type filter, but includes only data from Social Feedback. Use this filter only in reports that are exclusive to Social Feedback data.
Feedback Type for Topic Investigator
Similar to Feedback Type filter, but is used with the previous version of Topic Investigator.
Individual Theme Selector

Shapes Text Analytics reports by records that have been tagged by a single selected Theme.

Note: This filter determines the content considered for text analysis, but it does not filter the pool of the report's responses. Therefore, this filter does not affect the scores in a report. This type of filter is sometimes called a Data-shaper, since it shapes data in the pool of responses determined by other filters.

  • Text Source — The source of the text to be analyzed for the selected theme.

  • Language — The language to be displayed.

  • Theme Selection — The theme to be used to filter results.

  • Comment Field — The survey comment field or set of comment fields to be analyzed.

When using this filter in Web reporting, users must select values for the Comment Field and the Theme Selection dropdowns. Selecting only a Comment Field value does not return records. To enable searches for records with values for comment fields without regard for theme tagging, use the previous version of the Comment Field filter.

Individual Theme Selector configuration

Additional settings:

  • Enable Speaker Filter — Used only with Medallia Speech. Adds a Speaker dropdown to the filter that enables the user to view transcribed voice data from the Customer, the Agent, or All speakers. You can also provide a default value for the Speaker dropdown. For more information, see Medallia Speech.

Note: This filter applies only to Alchemy Experience Reporting modules that display single themes.
Individual Topic Selector
Important: This filter is superseded by the Topic Filter with the Single Topic Selection Mode property selected.

Media Type
In reports that display embedded media feedback (such as from Speech and Medallia Video). Filters by the type of media: Video, Audio, Image, or No Media. For more information, see Medallia Speech and Video/Audio feedback.

Multi Theme Selector

Shapes Text Analytics reports by records that have been tagged by all themes in the selected level.

Note: When a report link's destination uses a Multi Theme Selector, the destination report does not inherit theme selections from the origin report.
Note: This filter determines the content considered for text analysis, but it does not filter the pool of the report's responses. Therefore, this filter does not affect the scores in a report. This type of filter is sometimes called a Data-shaper, since it shapes data in the pool of responses determined by other filters.

  • Text Source — The source of the text to be analyzed for the selected theme.

  • Language — The language to be displayed.

  • Level — The level of themes to be displayed.

  • Mentioned In — Additional field that must be configured to display. Enables the user to filter results by a topic or theme's co-occurrence with another topic or theme.

  • Comment Field — The survey comment field or set of comment fields to be analyzed.

  • Speaker — Additional field used with Speech that must be configured to display. Enables the user to view transcribed voice data from the Customer, the Agent, or All speakers.

Multi Theme Selector configuration

Additional settings:

  • Enable 'Mentioned In' Selection for Co-occurrence Results — Adds the Mentioned In dropdown to the filter that enables the user to filter results by a topic or theme's co-occurrence with another topic or theme.

  • Enable Speaker Filter — Used only with Medallia Speech. Adds a Speaker dropdown to the filter that enables the user to view transcribed voice data from the Customer, the Agent, or All speakers. You can also provide a default value for the Speaker dropdown. For more information, see Medallia Speech.

When using this filter in Web reporting, users must select values for the Comment Field and the Theme Selection dropdowns. Selecting only a Comment Field value does not return records. To enable searches for records with values for comment fields without regard for theme tagging, use the previous version of the Comment Field filter.

Restriction: This filter applies only to Alchemy Experience Reporting modules that display multiple themes.
Multi Topic Selector

Shapes Text Analytics reports by records that have been tagged by one or more selected topics. All selected topics must be on the same level. Users can select all topics at a level, or individual topics.

Note: When a report link's destination uses a Multi Topic Selector, the destination report does not inherit topic selections from the origin report.

Question
Shows responses with the selected question answered.
Restriction: Do not use the Question and Score filters together.
Question (No Social)
Similar to the Question filter, but excludes data from Social Feedback.
Question (Social Only)
in Social Feedback reports. Similar to the Question filter, but includes only data from Social Feedback.
Question Groups
Searches responses by a group of questions. The results show data for each survey question in the group, as well as aggregated data for that group. For example, you might create a Question Groups filter containing several groups of satisfaction questions, with each group corresponding to a different aspect of your company (such as Service, Sales, Support, and so on). For more information, see Filters and control panels.
Question Groups (Analytics)
Important: This filter is superseded by the Question Groups filter.
Question Groups (Social)
Similar to Question Groups filter, but includes data from Social Feedback.
Rank
In previous versions Ranker reports. Filters by the fields configured on the Reporting > Reports > Ranker screen in Setup.
RateBy (Legacy)
Important: This filter is deprecated and is only used only in previous version of Custom modules without Dynamic filtering.
RateBy 2 (Legacy)
Important: This filter is deprecated and is only used only in previous version of Custom modules without Dynamic filtering.
Recognition
Shows responses that were flagged for recognition (Yes), not flagged for recognition (No), or all responses (All)

when using Action Intelligence

Reporting Date (with Label)
Searches by the reporting date of responses. Values in the Reporting Date dropdown show the label of the reporting date (such as Feedback Date, Check-in Date, and so on).

Configure reporting dates on the Reporting > Report Helpers > Time > Time Fields screen in Setup. For more information, see Time Fields.

Role
In user engagement reports. Filters by a specific Experience Cloud role. For more information, see Health Watch.
Score
Shows responses that match a specific score range. The ranges available are those defined in the ScoreRangesString property of the Company > Profile > Company Settings screen in Setup.

For more information, see Company settings.

Note that All Main Score includes surveys that do not actually have a score in the Main Score field.
Restriction: Do not use the Question and Score filters together.
Score (No Social)
Similar to Score filter, but excludes data from Social Feedback.
Search
Searches for specific words in responses. This filter is appropriate for simple searches. For more complex searches, use the Custom Query filter.
Segment Filters
Filters report data by specific fields. For example, you might want users to filter reports by a sales region, product purchased, or customer demographics. This filter makes individually named segment fields (primary filters) and the more general Segments field (additional filters) available in reports.
Social Data Source
In Social Feedback reports. Filters by fields that exist in the Social media server (STR attributes).
Warning: Do not use this filter with Segment Filters filter. In the rare case that you need to include Unit group filters and STR attribute filters, use the Social Data Source and Segment Filters.

In Social Feedback reports. Filter by fields that exist in the social media server (STR attributes), and by unit group.
Survey
Shows responses for a specific survey only.
Themes (Legacy Version)
In previous versions of Text Analytics reports. Filters by specific themes. In Admin Suite, administrators can specify a default topic set and a default language:

Themes (No Special Options) (Legacy Version)
Similar to the Themes (Legacy Version) filter, but does not include All as a possible selection.
Timeperiod
Shows responses in the specific Timeperiods configured for your company.
Topic Filter
Filters results by records that have been tagged by one or more topics, and which indicate specific sentiment from the respondent. You can select default values for Sentiment and Topic Filter. When using Speech, you may set a default value for the Speaker. Additionally, you can prevent users from selecting different values in the Control panel.

Additional settings:

  • Comment Field Selection Disabled — Removes comment-field filtering from the control panel.
  • Enable Speaker Filter — Enables users to filter Speech records by All speakers, only the Customer, or only the Agent.
  • Enable Theme Selection — Enables users to select themes as part of the filter criteria.
  • Enable topic set hierarchy — Make Topic sets the top level of the Topic Selection, enabling users to filter reports easily.
  • Phrase Level Filtering Enabled — Enables users to select a Matching Mode of Phrase Level or Record Level. Phrase-level matching searches for matches within the same phrase, while record-level matching searches for matches within the entire record. Phrase-level filtering is incompatible with Single Selection Mode.
    Restriction: Phrase-level filtering is only available in Alchemy Experience Reporting for the Topic Filter. Previous versions of Topic filters do not support phrase-level filtering.
  • Single Selection Mode — Limits users to filter by one Topic at a time.

In the Control panel, users click Add icon Add to build filters, which may include a combination of Topics, Sentiments, Comment fields, and more. In this example, the user is filtering the report to show only phrases matching two topics (Fitting Rooms - Availability and Fitting Rooms - Cleanliness/Appearance), and two sentiments (Negative and Strongly Negative):

In record-level searches, users can create filters that include multiple OR clauses, and up to a single AND clause. For example, this image shows two clauses, joined by an AND. The first clause filters for Positive and Strongly Positive sentiment for the Staff - Professionalism (Branch) and Staff - Helpfulness (Branch) topics, OR Negative and Strongly Negative sentiment for any Staff (Retail) topic when the respondent has provided comments in Additional Comment field. The second clause filters for Neutral and Mixed Opinion sentiment for Purchasing Experience topics. When the user runs this filter, only responses that satisfy both clauses are displayed.

A complex topic filters

Topic Filter (Legacy Version)
Important: This filter is superseded by the Topic Filter introduced with Alchemy Experience Reporting, described above.

In previous versions of Text Analytics reports. Filters the results by records that have been tagged by the selected topic. Users may also select Tagged surveys, Untagged surveys, or All to filter results by whether a survey has been tagged by a topic.

In addition to reports that focus on topics, this filter is useful in a Theme Investigator dashboard.

For companies using sentiment, a Sentiment option is also available.

Note: When using Alchemy Experience Reporting, the control panel combines the Topic Filter (Legacy Version) and Topic Group filters in a single dropdown labeled Topic Hierarchy. Ensure that legacy custom modules for Text Analytics include plugins for Topic Filter (Legacy Version) and Topic Group if you are using Alchemy Experience Reporting.
Topic Filter (No All Option) (Legacy Version)
Similar to Topic Filter (Legacy Version) filter, but excludes All as a value users can select in the Control panel.
Topic Filter (Social)
Similar to Topic Filter (Legacy Version) filter, but includes only data from Social Feedback. Use this filter only in reports that are exclusive to Social Feedback data.
Topic Filter (Social, No Sentiment)
Important: This filter is superseded by Topic Filter.
Topic Filter (Social, No Sentiment, Strict)
Important: This filter is superseded by Topic Filter.
Topic Filter (Social, Strict)
Important: This filter is superseded by Topic Filter.
Topic Filter 2 (Legacy Version)
Use this filter in conjunction with the Topic Filter (Legacy Version) filter to add second topic dropdown, enabling users to filter a report by two topic levels at once.
Topic Filter 2 (Social)
This filter works as the Topic Filter 2 filter, but only includes data from Social Feedback. Only use this filter in reports that are exclusive to Social Feedback data.
Topic Group (Legacy Version)
Use this filter in legacy Text Analytics reports to filter the results by a particular topic. This filter does not display all topics. The Topic Rank (Legacy Version) filter determines which level of topics are displayed, so if you include this filter, consider also including the Topic Rank (Legacy Version) filter.

If you are using Alchemy Experience Reporting, the control panel combines the Topic Filter (Legacy Version) and Topic Group (Legacy Version) filters in a single dropdown labeled Topic Hierarchy. Best practice is to ensure that legacy custom modules for Text Analytics include plugins for Topic Filter (Legacy Version) and Topic Group (Legacy Version) if you are using Alchemy Experience Reporting.

Note: Filtering by Topic Group or Topic Rank does not change the size of the data set you are viewing. These filters only limit which topics are displayed within a report.
Topic Group (Social)
In Social Feedback reports. Similar to Topic Group filter, but includes only data from Social Feedback.
Topic Rank (Legacy Version)
In previous versions of Text Analytics reports. Filters the results by a particular topic level. Consider including the Topic Group (Legacy Version) filter so that, if topics are organized in a parent-child topic hierarchy, two topic levels are available to users, with parent topics as Level 1 topics, and child topics as Level 2 topics.
Note: Filtering by Topic Group or Topic Rank does not change the size of the data. These filters only limit which topics are displayed within a report.
Topic Rank (social)
In Social Feedback reports. Similar to Topic Rank filter, but only includes data from Social Feedback.

Mutually exclusive filters

These filters are mutually exclusive, that is, they cannot be used simultaneously with others. For example, adding both Question and Score filters results in an error message.
