Push reports
Push reports send embedded and attached reports through email on a scheduled basis. Embedded reports appear as a table in the email body, while attached reports are available as PDFs. With both methods, recipients can see data without needing to sign in to Medallia Experience Cloud through Medallia Web reporting or Medallia Mobile. For example, the following image shows how an embedded push report appears to a recipient in email:
Recipients can click the button at the top of the email body to open a more detailed report of your choosing in Medallia Web reporting, and can click Go to Response for any specific row in the table to open the Responses Form report for that response in Medallia Web reporting. Recipients not already signed in to their Experience Cloud user account are prompted to sign in when clicking through from the table.
Push Reports screen
The Push Reports screen lists all of the push reports created in Admin Suite. For each report, the list shows the frequency at which the report is sent, its activation status, the list of recipients, and the next scheduled push. Use the Search and Recipients options at the top of the list to filter the reports displayed.
The details pane on the right shows more detailed information for the selected report, including the number of emails received successfully and attempted in the most recent push.
To download an Excel report with the status of the most recent push of the selected report, select Download stats from the details pane menu.
Each row of the status report lists the following information:
- The intended recipient's full name.
- The intended recipient's Experience Cloud user name.
- The time the push report was actually executed. This might differ from the scheduled time, such as if the server was down during the scheduled time, or if the execution was queued to manage load issues.
- A status, indicating whether the push was successful.
- A status message. Any error messages for failed pushed are included in the status message.
Attached reports
Optionally, you can configure a push report to include up to three attached reports as PDF files. Each attachment shows the report graphically, just as if the recipient were viewing the report in Medallia Web reporting. The PDF shows the date the report was created, and lists any filters applied to the report. For example:
The data each user sees in an attached report is defined by the data access for their role, and the filters defined in the report you attach. For example, if the report is configured to show responses only for a specific reporting date, the attached report shows data only for that reporting date. If the report has no filters applied, default filters for the user's role are applied.
If the report is configured to show data for multiple units, but a recipient has data access only for a subset of those units, the user sees data only for the units he or she is allowed to see.
Configuring push reports
To create and schedule a push report, specify who should receive the report, and then define the report's contents and schedule in the report template.
- Click New Push Report.
- Enter a name for the report.
- In the Recipients tab, specify the roles and/or users to receive the report. Important: Recipients must have email addresses defined in their Experience Cloud user accounts to receive push reports.
- To specify roles, click Add Role and then select one or more roles.
All users in the roles you specify will receive the report.
- To specify individual users, click Assign specific users to see this Push Report, click Add User, and then select one or more users. After the users you add appear in the list, you must select a role for each user to use for the report. To do so, click a user name, and then select an Assigned Role. For example:
- Click Save.
- To specify roles, click Add Role and then select one or more roles.
- In the Contents tab, configure the Email Subject and Sender module:
- In the Subject Line property, enter the subject recipients will see in their email inbox.
- In the Send Email Address property, enter the name and email address recipients see as the sender of the report. Important: By default, you must use a medallia.com domain, such as noreply@medallia.com or feedback@medallia.com. To use an email address with a different domain, work with your Medallia expert to configure email masking.

- Click Save, and then close the module.
- Configure the Schedule module: Important: Do not turn on the Activate Schedule property until you are ready to send your report.
- In the Frequency By property, select whether Experience Cloud will send the report according to Days of month or Days of week.
- If you select Days of month, either turn on the Every day of the month property, or select the specific days you want Experience Cloud to send the report. If you select Days of week, either turn on the Every day of the week property, or select the specific days you want Experience Cloud to send the report.
- If you want Experience Cloud to send the report in every month, turn on the Every month of the year property. Otherwise, select the specific months you want Experience Cloud to send the report. For example, you might need some reports sent only quarterly, or during specific seasons of the year.
- In the Time property, select whether you want Experience Cloud to send the report or Every hour or Once a day.
- If you select Every hour, enter the minute of each hour (such as 30 for sending the report at 1:30, 2:30, and so on). If you select Once a day, enter the time (hour and minutes) to send the report.
- In the Select Timezone property, select the time zone you want Experience Cloud to use for the schedule.
- Click Save, and then close the module.
For example, the following image shows a schedule for a report sent at 2 A.M. Pacific time, every Sunday, in every month of the year:
- Optionally, configure the Introduction Message module. Enter any introductory text and formatting you want to appear above the report in the body of the email, then click Save and close the module.
- Configure the Call to Action Button module. In this module, the Enable Call to Action property is on by default. If you do not want to include the button in the report, turn off the property, and then click Save. Otherwise, complete the following steps:
- In the Button Text property, enter the text to appear in the center of the button.
- Click Add Link to add a default destination report that opens when users click the button in the email. After adding a default destination report, optionally click Add Overrides to add one or more different destination reports for specific roles. For example, you might want most roles to see a summary report, while providing a more detailed analytics report for the Insights role.
- Select the Button Text Color and the Button Color.
- Click Save, and then close the module.
- Configure the Report Data module:
- If you want to send only report attachments in the email, turn on the Only send attachments property.
Doing so hides all other properties in the Report Data module except those that configure the attachments you want to send. Leave this property off if you do not want to send attachments, or if you want to send attachments and an embedded report.
- In the Record Details property, click Select Field, and then select one or more fields to include in the report. Each field appears as a column. By default, the report includes fields for the customer name, customer email, the response date, and a link to the detailed record in Medallia Web reporting.
- Optionally, in the Highlighted Fields property click Select Field to add one or more score fields as columns at the right side of the report. These fields are highlighted according to the scores and colors specified in the Highlighted Field Ranges property.
- Optionally, in the Comment Fields property click Select Field to add one or more additional comment fields to the report.
- Optionally, select a Time Period, which filters the report by the time period you select.
- Optionally, select a Reporting Date, which filters the module by the reporting date you select.
- Optionally, enter a Custom Query to filter the module by a regular expression.

If permission contexts have been configured, optionally select one in the Data View property to expand the data usually available to users assigned to this report.
- In the Number of Records property, specify the maximum number of records to appear in the email. Users can click through to Medallia Web reporting to see more records.
- In the Sort by Field property, select a field used to sort the records in the report.
- Select a Sorting Order, either Ascending or Descending.
- In the Highlighted Field Ranges property, define score ranges and colors for the fields you select in the Highlighted Fields property. To add more ranges, click Add Range.
- Optionally, configure each of the following properties for up to three report attachments:
- PDF Attachment — Click Add Link, and then select the report you want to attach. As you add attachments, a box listing the attachments appears in the preview pane. Click any report in that box to preview the attached report.
- Orientation — The layout of the report, either Portrait or Landscape.
- Scale — The relative size of the text and visualizations in the report, either Regular or Large.
- Include default header logo — If an administrator has uploaded default or role-specific logos, turn on this property to include the logo in the upper-left corner of the PDF.

- Click Save, and then close the module.
- If you want to send only report attachments in the email, turn on the Only send attachments property.
- Optionally, configure the Footer Message module. Enter any introductory text and formatting you want to appear below the report in the body of the email, then click Save and close the module.
- Preview the report before making it active:
- Click Send Preview.
The Preview Push Report dialog opens.
- In the Send a Test to property, enter the email address to receive the preview.
- In the Receive as property, select one of the roles assigned to the report. The preview appears as seen by users with that role.
- Click Send.
- Click Send Preview.
- When you are satisfied with your report, activate it for distribution:
- Open the Schedule module.
- Turn on the Activate Schedule property.
- Click Save, and then in the confirmation dialog click Activate.
