Build an Experience program

These steps list the best practices when creating an Experience program:
  1. Create a survey specification

    A survey specification, or spec, plans out your survey and acts as reference document both during the survey building as well as post-launch.

    Before creating a survey specification, watch Survey design fundamentals. To create the specification:

    1. Review an example survey spec.
    2. Create a spec document, including:
      1. All content: text, questions, and choice set items, as well as any page breaks.
      2. Any display logic, conditioning, or branching.
  2. Create an Experience program

    Before creating an Experience program, see Admin Suite home. To create a program:

    1. Create an Experience program.
    2. Note down the Program ID in the survey specification for future reference. The Program ID looks like: e_program_id = '07adb0f2-1906-44b9-9b37-1da6379ed1d0.
  3. Create and build an Importer.

    To create an importer:

    1. Navigate to the Experience program editor created in step 2.
    2. Click Importer > New Importer.
    3. Build the importer based on the survey specification defined in step 1.
    4. Preview the importer to test and validate is working as expected.
    5. Save and click Return to program to go back to the editor.
  4. Create and build a survey

    Before creating a survey, watch Building your survey. To create a survey:

    1. Navigate to the Experience program editor created in step 2.
    2. Click Surveys > New survey.
    3. Build the survey based on the survey specification defined in step 1.
    4. Preview survey to test and validate is working as expected.
    5. Click Create version to create a version of the survey.
    6. Save and click Return to program to go back to the editor.
  5. Create a survey design

    A survey design defines the appearance of surveys, including colors, fonts, images, etc. Before creating a design, watch Create survey designs. Decide if you want to create a new survey design or reuse an existing one:

    • To create a new design:
      1. Navigate to the Experience program editor created in step 2.

      2. Click Survey designs > New design.

      3. Customize the design by selecting desired colors, images, etc.

      4. Optionally, create and customize Variations (for example, if different logos are needed for different brands).

      5. Preview the design on desktop and mobile.

      6. Save and click Return to program.

    • To reuse an existing design:
      1. Navigate to Survey designs screen.

      2. Select the design to reuse.

      3. In the details pane, navigate to the Rules tab and click Add rules.

      4. Under Rule, add the Program ID expression from the Experience program, such as e_program_id = '07adb0f2-1906-44b9-9b37-1da6379ed1d0'.

  6. Create Distributions (for personalized invitation surveys only)
    Email templates are used to send personalized invitations to respondents. If you are building an Anonymous survey, go to step 6.

    Before creating an email template, watch Create Email Templates . To create an email template:

    1. Navigate to the Experience program editor created in step 2.
    2. Click Email Distributions > New Email template > Invitation email.
      1. Customize the Subject, Header, Introduction, Call-to-action, Signature, and Footer sections.

      2. Update text in Plain text version.

      3. Save and preview to validate on both mobile and desktop devices.

      4. Click Return to program to go back to the editor.

    3. Optionally, repeat the steps above to create Reminder and/or Thank-you emails.
    4. Click Email Distributions > Distribution settings > New setting.
      1. For Priority and Distribution rules, use the Program ID expression from your Experience program in step 2 above.

      2. Update the Reminder email and/or Expiration timing.

      3. Save and click Return to program to go back to the editor.

  7. Test and launch the survey
    Before creating the email template(s), watch Test and launch your surveys. To test and launch a survey:
    1. Navigate to the Experience program editor created in step 2.
    2. Navigate to Surveys > Survey created in step 2 > Versions > Manage.
    3. Click the survey version menu.
    4. Create a preview survey link. Select any design.
    5. Thoroughly test the preview link to ensure it is working as expected.
    6. Optionally, if making changes to the survey after testing:
      • For any structural changes to the survey, create a new version.
      • For minor wording changes to a question, sync the existing version.
    7. To launch the survey, set the intended version as the default version.
  8. Distribute surveys
    Before distributing the survey(s), watch Distributing surveys. Decide if you want to distribute the survey anonymously or with a personalized invitation email:
    • To distribute an Anonymous survey:
      1. Navigate to the Experience program editor created in step 2.

      2. Navigate to Link distributions > Survey links > New link.

      3. Create a Live survey link. Any survey submitted from this link is recorded as a live survey in Medallia Experience Cloud.

      4. Optionally, add any parameter.

    • To distribute a personalized invitation:
      1. Follow the details under step 5. Distribution settings should be set up automatically with the Program ID rule.

      2. Share the Program ID with your Medallia expert to map the incoming survey emails to the correct survey, design, and email templates via an Importer.

      3. Request a few end-to-end test survey emails for the survey.
