Rules
Rules (formerly known as Inviters, or Email inviters, or Distribution settings) put together and send emails to invitees. They combine a distribution template with invitation data to produce the specific message that is sent to each survey taker. After sampling the invitation data to identify the invitees that should receive an email, Medallia Experience Cloud needs to determine which distribution setting to use when sending the emails for each record.
These emails are distributed when:

Invitation email — New records with data are matched up against the rule on the setting. If the setting matches the record, an Invitation email is sent.

Reminder email— If a survey has not been taken, a rule can optionally send one or several scheduled Reminder emails.

Thank-you email— When surveys are completed, a setting can optionally send a "Thank-you" email.
The rules also define what information to put in the message heading, such as the sender's name in the 'From' field. Additionally, they define the timing of Reminder emails and when surveys are no longer accessible for survey takers. Note that the Invitation and Reminder emails are generally sent out every 10 minutes; however, if there are too many Invitation and/or Reminder emails to send simultaneously, a higher delay might occur.

Rules screen
Rules screen lists all the available rule settings for that particular company instance. Rules are sorted by the last modified date and can be filtered by Program. Use the search bar at the top of the list to search for a particular setting.

Details pane
Click a setting to reveal its details pane, which shows:

Details tab — Summarizes the most important information of your setting, such as:

Emails — Number of emails the distribution setting has. The minimum number is 1, as an Invitation email is required.

Priority — Priority number given to the setting. For more information, see Priority and Distribution rules.

Created — Date the distribution setting was created.

Last modified — Date the distribution setting was last modified.

Create and manage rules
Complete these steps to create a Distribution setting:

From Rules screen, click New Rule.

Enter a name for the rule.

Set the Priority and Distribution rules.

Configure the Invitation email.

Optionally, configure a Reminder email, Thank-you email, and the Expiration.

Click Save.
Manage Rules
To manage a rule, click Edit to modify its existing configuration, or the details pane menu to delete it.
Priority and Distribution rules
Priority and Distribution rule determine when to use an email to distribute personalized invitations. A distribution rule may apply to a certain group of recipients: for example, to only send emails to those that live in Germany, you can set the distribution rule as Country = Germany. If a record also matches other distribution rules, the Rule uses its Priority to determine which emails to send.
Distribution rules
Each rule setting has a Distribution rule that indicates when to apply this setting and to connect it to an existing program. Distribution rules can be:

Active — The distribution setting is always used.

Inactive — The distribution setting is never used.

Custom rule — The distribution setting is used based on the rule conditions. Click Add rule to build the setting rule. For details on how to build the rules, see Logic, rules, and conditions.
Priority
When a record matches multiple rules, the distribution setting with the highest Priority (the lowest number) is used. The priority number is not set directly, instead the number is determined by the relative position to other settings. If you change the position of one Distribution setting, the priority numbers of all other is subject to change to ensure that there are no two rules with the same priority number.
Configuring a distribution setting rule

Create a distribution setting.

Choose the rule type: Active, Inactive, Custom rule.

Set the rule priority. The priority establishes the position that rule takes relative to the others if a survey matches multiple rules.

Click Save.

Invitation email
The Invitation email is the message that invites one or several groups of recipients to take the survey included in its button link. To configure an Invitation email:

Select the Invitation email to use. The dropdown only lists the Distributions of type Invitation email.Note: To instead pick an email based on the rules on emails, set the Invitation email field to Based on email rule. This overrides what is set in the Rule field of the Email.

Define the "From" email address, as described below.

Select a domain. The dropdown lists the Email domains available for the instance.

Enter the return path to check the return path email, as described below. For information about return path configuration, see Custom return path configuration.

Enter the "From"sender's name, as described below.
- Optionally, click Use the 'To' name. See details below.

Optionally, configure the Advanced settings, as described below.

Click Save.
"From" Email address
Email address that the Distribution setting uses to send all the different Invitation, Reminder, and Thank-you emails. "From" Email address is made up of:

Local part — A local part from an existing email account or that clearly states that it does not accept replies (for example, no-reply, DoNotReply), and therefore emails bounce automatically if recipients respond.
You can also include a variable to use in emails. For example, to include the Unit's email account in the address, the local part might look like this:
$orion_unit_email_name$@...Important: When using a variable on the "From" email address local part, some manual configurations must be done outside Admin Suite to allow Auto-reply emails to be sent for each possible value of the field. If you do not have access to configure the sending of Auto-reply emails, contact your Medallia expert. If you can configure Auto-reply emails, you must manually create an Auto Reply configuration for each possible value for this field to ensure auto replies work and verify the hard-coded values are consistent with values retrieved from Experience Cloud. -
Domain part — Select a subdomain from the available dropdown options. By default, the only subdomain available is the default for your instance. To use custom domains, contact your Medallia expert as some email masking configuration is required to prevent errors.
Warning: Unless the company is configured for Email masking, always use the domain of your instance. Changing the domain can cause reply-to emails not to be processed, and can erroneously cause emails to be treated as spam.For more information, see Email masking.
"From" Sender's name
Name that appears in the From field in the email. "From" Sender's name can be a:

Name — Enter the name directly in the field.

Variable — An available variable to use in emails, such as the Unit's group name or brand. For example, if the Unit group has a field whose Field ID is
ug_orion_brandname, set this field to$ug_orion_brandname$to use it as a variable.
Use the "To" name
Check this field to use the First name field (e_firstname) value in the To field in the email. When selected, the To field contains both the name and the address (Skyler Hill <skyler@example.com>), which, when rendered by the email client, usually just shows the name. When not selected, only the recipient's email address appears in the field, such as skyler@example.com.
Advanced settings
Reply-to email address is the email address that receives the emails when recipients reply to the Invitation email. Use this email address when Auto reply emails are not configured.
Reminder email
Configure the setting to send a Reminder email if a recipient has not taken a survey for a given time. To add a Reminder email:

Select Enable Reminder.

Choose a Reminder type that defines when to send the Reminder email, which can be:
- After a time delay — After a certain period of time has passed from the time when the Invitation email was sent (measured in days, hours, and minutes). A Reminder email is sent based on the Invitation email date (
e_delivered date) and, if more than one Reminder email is set, the subsequent ones are also based on that date. When sending a Reminder email, Experience Cloud sets the time for the next Reminder email; you can change the time for a subsequent Reminder email as long as the previous one has not been delivered yet. -
At a specific date and time — The exact date and time when the Reminder email is sent. The time zone is set in UTC based on your device settings, and it is the one used to send the reminder email.Note: When adding more than one reminder email, you cannot to add a new reminder with a date in the future if there's at least one reminder in the past. Experience Cloud treats reminder emails a single entity instead of considering each reminder separately.
- After a time delay — After a certain period of time has passed from the time when the Invitation email was sent (measured in days, hours, and minutes). A Reminder email is sent based on the Invitation email date (

Select the email to send as Reminder email. The dropdown menu only lists Distributions of Reminder emails type.Tip: To instead pick an email based on the rules on emails, set the Reminder email field to Based on email rule. This setting overrides what is set in the Rule field of the Email. Note that this only applicable for the first Reminder email to avoid potentially conflicting rules.

Optionally, click Add a reminder to configure an additional Reminder email.

Click Save.
Contact your Medallia expert to prevent pending Reminder emails from being sent as this requires changing the Survey status (e_status) to DELIVERED_NO_REMINDER.
Thank-you email
Send a Thank-you email when the survey taker submits a survey. To send a Thank-you email:

Select Enable Thank-you email.

Select the email to use from Thank you email. Note that the dropdown only lists Distributions of Thank you emails type.Tip: To instead pick an email based on the rules on emails, set the Thank-you email field to Based on email rule. This setting overrides what is set in the Rule field of the email.

Click Save.
Expiration
All rules expire at some point. Recipients attempting to take a survey through an expired setting email get an error message informing the survey is no longer available. If a Reminder email is configured, expiration should always occur after the reminder email is set to be sent — otherwise, it is not delivered. To configure expiration:

Choose an Expiration type, which defines when a Distribution setting expires:
- After a time delay — After a certain period of time has passed, measured in days, hours and minutes. The minimum time delay is 1 day (24 hours) and cannot exceed 90 days (2160 hours).
The expiration timestamp is set when the invitation is created. When the expiration setting for the invitation is a Time Delay, the expiration time is relative to the time when the record was created (
e_creationdate). For invitation-based surveys, this is the time just before the record goes to Sampling. If later the record is updated, the expiration time is calculated relative to the existinge_expirationdatetimestamp.Note that explicitly remapping the Invitation date and/or Expires on date (
e_expirationdate) after record creation does not change the expiration date of the survey. For more information, see Extend survey expiration dates. -
At a specific date and time — The exact date and time when the setting expires. Note that the time zone set in UTC based on your device settings, and it is the one used to expire the survey.Tip: Internally, Experience Cloud converts and stores time in PST time zone.
When configuring the expiration from outside of the desired timezone, you need to manually calculate the time difference from your current time zone.
- After a time delay — After a certain period of time has passed, measured in days, hours and minutes. The minimum time delay is 1 day (24 hours) and cannot exceed 90 days (2160 hours).

Click Save.
When using Quotas, set the Expiration to be less than or equal to the unstable period in the Response Rates settings.

Tips and best practices
The timing of email sending has a great impact on response rates and on the quality of the information you can capture. Below are a few recommendations about when to send each type of email to get the best results.
Invitation emails
Send the Invitation emails as soon as the transaction is complete; the best trigger is often the point at which the journey is completed from the respondent's perspective.
If all survey takers are within the same time zone, send it between 11 AM and 2 PM. If time zones vary drastically, send all invitations together at a time of choosing.
Reminder emails
Reminder emails should be sent around the middle of survey's lifespan. Reminder emails take 2-3 days to reach full impact, so they shouldn't be sent when only 2 days or less are left before the survey expires. Studies show that response rates tend to be maximized with sending a reminder 4 days after the invitation.
Typically, 20% to 30% of the total number of responses are collected on the day the Reminder email is sent, then another 10% to 20% are collected in the following days.
Sending more than one reminder has been shown to boost response rates in some case studies, but you must ultimately make a trade off decision between higher response rates and survey fatigue.
Expiration
For transactional surveys, a survey period of 7 days is advisable. For relationship surveys, the period can be of up to 30-90 days or until a specific relevant date.
It's always a good practice to mention the expiration date of the survey in Invitation and Reminder emails. When the survey expires on a specific date rather than after a given period, display the actual date of survey closure rather than a number of days left. For example "Please take a few minutes to give us your feedback before the survey closes on [close date]. Thank you!".
