Export reports, modules, and action plans

Users viewing reports or action plans in Medallia Web reporting can export offline copies of those reports or action plans from the Medallia Web reporting toolbar.

Export reports

With Alchemy Experience Reporting, users viewing reports in Medallia Web reporting can export offline copies of those reports.

Click Download icon. Export in the Medallia Web reporting Toolbar to open a menu with export options, which includes:

Export options

  • Print — Downloads a PDF of the report using your browser's print functionality.

  • PDF — Downloads a PDF of the report using the Medallia Web reporting export functionality, which provides more control of the file's appearance.

  • PDF slides — Downloads a PDF of the report as a presentation. Each module is displayed on one slide. To export more than one reporting module on the same row to one slide, turn on the Export modules on the same row to a single slide property in Settings.

  • Powerpoint — Downloads the report as a PowerPoint file, with one module on each slide. To export more than one reporting module on the same row to one slide, turn on the Export modules on the same row to a single slide property in Settings.
    Note: The ability to export as a PowerPoint file is enabled by default. If you would like this feature disabled on your instance, contact Medallia expert.
Note: Exporting reporting modules to PDF slides or PowerPoint is not available for Responses Feed.

PDF Settings

For additional PDF-export options, click PDF Settings and configure:

  • Orientation — The layout of the exported file, either Portrait or Landscape.

  • Scale — The relative size of the text and visualizations in the exported file, either Regular or Large.

  • Logo — Optionally, you can add a small image as a logo to the upper-left corner of the exported file. You can also upload your own image.

Restriction: PDF Settings configuration only applies to PDF export option.
Important: Any images you upload are associated with your browser session. If you refresh your browser, you must re-upload your image if you want to use it again.

After changing PDF export settings, click Apply to save your choices.

Important: PDF settings are retained across sessions for reporting users.
To return to the default settings, select Reset. This action will revert all PDF export settings to their original state.

Export queue

Exports that contain responses can take up to three minutes to be ready for download. During that time, you can monitor the progress of exports in the download queue at the top of Medallia Web reporting, and can navigate freely through reports without interrupting the export process. When the export is ready, click Download next to the the name of the export to download a copy. For example, this image shows one export in the Export Queue ready to be downloaded and two exports that have been already downloaded:

To delete all exports in the queue, click Delete All.
Note: When you click Delete All, only exports that you downloaded or canceled are deleted. The exports in progress of being generated or ready to be downloaded, are not deleted.

Note: Non-custom exports of Responses List reports export all responses available to the user, not only the responses displayed after filtering the report.

Export data from Responses List reports

The Responses List report includes all of the export options available to other Alchemy Experience Reporting reports and modules, as described in Reporting.

Custom data export

Additionally, the Responses List report provides a Custom Data option, where roles with the Create Custom Export reporting permission can select specific fields to include in the export. These exports may have up to 1 billion cells of data.

To export using Custom Data:

  1. From Medallia Web reporting Toolbar, click Download icon Export.

  2. Select Custom Data.

    The Custom Data Export dialog appears.

  3. To edit an existing respondent data export, select that export in the Previous Exports dropdown.

  4. Select each field you want to include in the export in the Select fields column, and move it to the Include in Export column.

    Important: For K-fields to be available in the Select fields column, add the fields when setting up a Responses List or Responses Form report. For more information, see Responses reports.
  5. Select an Export Format.

  6. Enter an Export name.

    The name identifies the export in the Previous exports dropdown and in the list of scheduled exports in the notification center.

  7. Optionally, to schedule recurring exports, select Yes in the Subscribe to receive data by email property, and then select a frequency, time of day, and time zone. Medallia Experience Cloud sends you an email notification each time a scheduled export is ready to download.

  8. Click Export.

To open the list of scheduled exports in the Notification center, click Download icon. Export, and then select Scheduled Exports. For more information, see Notification center.

Export dashboard modules

To export an individual dashboard module:

  1. In Medallia Web reporting, open the module t to export.

  2. ClickMore vertical icon the module menu to open the export options.

  3. Select one of these:

    1. PDF
    2. Power Point
    3. Image
    4. Excel
      Tip: When exporting the Dashboard Ranking module to a CSV or Excel file, decimal numbers are no longer rounded. Likewise, all Medallia Alchemy Experience Reporting modules do no round values.

Export drill-down reports and modules from the side panel

Users viewing drill-down reports in the side panel can export offline copies of those reports or individual dashboard modules.

Note: The downloaded file displays the drill-down report or module on a full page according to the export configuration. If exported in a collapsed view, the file will still show the full page.
To export a full drill-down report, click Download icon Export from the side panel to open a menu with export options:

Export action plans

After opening an action plan, you can export offline copies of all sections of the detailed view of the action plan.

Click Download icon. Export in the Medallia Web reporting Toolbar to open a menu with export options, which includes:

  • PDF — Downloads a PDF of the Action plan using the Medallia Web reporting export functionality, which provides more control of the file's appearance.

  • Powerpoint — Downloads the Action plan as a PowerPoint file, with one section on each slide.

  • Image — Downloads the action plan as a PNG file, with all sections of an action plan.
