Creating a tag pool

A tag pool defines the pool of comments to which each list of topics is applied, and from which themes are generated. Some companies need only one tag pool, while other companies might need more. The process for creating a tag pool also creates a new topic set with the same name as the tag pool.

Creating a tag pool

Consider these factors when deciding how many tag pools to create:

  • Subject matter of the survey programs — Comments from survey programs that collect information about similar subjects are often combined into the same tag pool. For example, if there is a transactional survey program and a web experience survey program, but the subject matter of the surveys is almost identical, you might consider adding comments from both programs to the same survey pool. You can always limit access to the data by role, so that users only see data from one program.

    In cases where the survey subject matter is completely different, each survey program needs its own topic set, so there should be a separate tag pool for each survey program. For example, comments from a company's call center program and employee survey program should be separated into different tag pools.

  • Multi-touch requirement — If survey records in your system are tied to more than one unit (a multi-touch program), you can have multiple tag pools as long as the comment fields for each program are different.

To create a tag pool:

  1. Complete the prerequisite steps described in Implement Text Analytics.
  2. In Classic Setup, navigate to the Reporting > Topic & Theme Tagging > Auto Tagging Pools screen.
  3. Click New to create a new tag pool.
  4. In the Name property, give the tag pool a descriptive name, such as [COMPANY NAME] Call Center Feedback.
    Tip: The Comment Set filter in Theme Explorer displays the name of the tag pools, so make sure the name is appropriate.
  5. Click Save.
    Note: You might see a warning message at the top of the page, instructing you to assign a unit group or Q-fields. Ignore this message. it will disappear after you finish configuring the tag pool.
  6. If you want to limit which roles can administer the tag pool, complete the following steps.
    Note: Limiting tag pool administration does not affect reporting.
    1. Turn on the Enable tag pool topic set access by role property, and then click Save.

      This causes the MemberRoles property to appear.

    2. In the MemberRoles property, select the roles that can administer the selected tag pool.
  7. In the MemberUnitGroups property, choose the highest level unit groups that contain comments from the programs you want to pull from.
    • If you are creating only one tag pool for all comments, choose All <company> Units.
    • If you are creating a tag pool for comments that belong to a specific program only, choose the highest-level unit group associated with that program.
  8. In the MemberSurveyFields property, choose the comment Q-fields from which you want to retrieve comments.

    If you have multiple tag pools, your Q-fields do not need to be unique. Text Analytics processes comments from the specified unit groups for a given Q-field.

    Restriction: The alternative sets of selected fields must have an Encoding property value of TEXT or TRANSLATABLE. Because of this restriction, investigate the alternative set of any fields you want to add. For example, do not add a field that returns an integer.     Restriction: Do not use K-fields and A-fields in tag pools as they may cause performance issues. Use only Q-fields and E-fields.

    Newly added fields are included immediately in Text Analytics processing as new records are received.

    As you add fields to the word group, a message may appear below the new word group's Name that "The following fields are waiting to be processed:...." This message refers to historical processing only, and does not require additional action for new record processing. If you later modify any of these fields, records associated with those fields are marked for automatic reprocessing.

Note: If you remove unit groups or fields from a word group after processing has completed, new records are affected by your changes, but historical data remains unchanged. If you want to apply your updated tagging configuration to historical data, you must reprocess records. Learn more: Text Analytics processing and initialization.

Re-ordering topic sets

You can change the order that topic sets appear in the app from the Auto Tagging Pools screen.

  1. Navigate to the Auto Tagging Pools screen.

  2. Select the topic set that you wish to move.

  3. Click the up or down arrows to move the selected topic set to your desired location.

  4. Repeat steps 2 and 3 for other topic sets you wish to adjust.

  5. Click Save Hierarchy to apply the changes.

Properties

Name
Name of the tag pool. This also becomes the name of the corresponding topic set in Topic Builder.
Imported
Select this property if you need to use auto importer to import taggings from another text analytics solution. Importing taggings is not recommended.
ManualTaggingEnabled
Restriction: Do not use this property, which is obsolete.
Enable tag pool topic set access by role
When this property is on, only the selected roles in the MemberRoles property can administer the tag pool.

When this property is off, any role with permission to use Topic Builder can administer the tag pool.

MemberUnitGroups
For the programs you want to process comments, choose the highest level unit groups that contain comments.
  • If you are creating only one tag pool for all comments, choose All <company> Units.
  • If you are creating a tag pool for comments that belong to a specific program only, choose the highest-level unit group associated with that program.
MemberSurveyFields
The survey fields to which the tags in this pool are assignable.

If you have multiple tag pools, your Q-fields do not need to be unique. Text Analytics only brings in comments from the specified unit groups for a given Q-field. If you later modify any of these fields, records associated with those fields are marked for automatic reprocessing.

Restriction: The alternative sets of selected fields must have an Encoding property value of TEXT or TRANSLATABLE. Because of this restriction, investigate the alternative set of any fields you want to add. For example, do not add a field that returns an integer. Note: You should reparse after modifying these fields. For more information, see Text Analytics processing and initialization.

If the Enable tag pool topic set access by role property is on, select the roles that can administer the tag pool.
