Managing existing topics in the legacy Topic editor

When you hover over a topic, options appear for you to alter the topic hierarchy, add child topics, edit topics, and delete topics.

Hovering over a topic reveals options to edit the topic, delete the topic, drag the topic to a new location, or create child topics.

Additional options appear when you select a topic’s checkbox:

When you select a topic, these additional options appear: Export, Status, Visibility, Duplicate, and Delete.

Filter

Filters topics according to status:

Active — The topic has been published, and is available for text processing. Information about the topic is visible on the reporting side of the application.

Inactive — The topic is not available for text processing, and is not visible on the reporting side of the application.

Draft — The topic has been changed. If an active topic also has a draft status, the topic has been changed since it was last published, but the older version of the topic is still visible on the reporting side of the application.

Failed — An unspecified error occurred when an attempt was made to publish the topic. When this happens, try publishing again.

Import

Inputs topics in XML format and adds them to your topic set.

Importing is useful for moving topics between systems, repopulating the system with topics from a backup file, and making changes to preexisting topics. The topic status for the imported topics should be Inactive.

Note: When importing, there is an option to override existing topics of the same name.

The Override existing topics with the same name property allows you to override existing topics of the same name.

  • Override option is selected: When you import a topic with the same name as an existing topic, the imported topic overrides the existing topic.

  • Override option is not selected: When you import a topic with the same name as an existing topic, the topics will exist side-by-side, with a “2” added to the name of the newly imported topic.

Export

Produces an XML version of the selected topics. You can then copy the XML and manually save it to a text file for import into another system. Selected synonyms and negation settings are also exported in XML.

Note: Backup your topics on a regular basis by exporting the topics and saving the file on your system, as Medallia does not store backups of topics.

Status

Modifies the status of the selected topics. See Status options for more information.

Visibility

Authorizes specific roles to view the topic in reports.

Note: You must activate the topic before the selected roles can view information about the topic in reports.

Duplicate

Creates a copy of one or more topics.

Delete

Deletes the selected topics. Consider the following best practice:

  • Medallia Experience Cloud cannot undo a delete operation, so export frequent backups of your topics to protect against mistakes.

  • Instead of deleting topics, consider deactivating topics and then moving them to the bottom of your topic list to keep active topics nearer the top. You might discover that those topics have content that you can repurpose.

Status options

The Status button modifies the status of the topic.

The Status option allows you to activate or deactivate topics.

Note: Activating or deactivating a topic affects the current language and all segments.

Activate

To make a topic and its associated information appear on the reporting side of the application, select the topics you would like to see and click Activate. If the topic has been published previously, choosing Activate publishes the latest version of the topic. 

Deactivate

To remove a topic from the dropdowns on the reporting side of the application, select the topics you would like to remove and click Deactivate.

Abort

If you accidentally hit activate for a topic and want to stop it from shuttling over the associations it has made with the comments in your system, select the topic and click Abort while publishing is still in progress.

Clicking this button will also deactivate your topic.
