Email translation editor

Email translation editor provides an interface to translate email content using an editor, with a real-time preview. Additionally, you can select the emails to translate, the languages to translate into, and test the email translation by sending a preview email.

Accessing the Email translation editor

There are two ways of accessing the Email translation editor, either via the:

Translation screen

Complete the following steps to access the email translation editor from the Translations screen:

  1. From the Translations screen, use the Asset types filter to select the emails to translate, such as Survey emails.

  2. Use the Email filter to choose the particular email to translate.

  3. Choose the Language to translate the email content into.

  4. On the Translated text area, click the email string link(s) to open the email translation editor.

Complete the following steps to access the email translation editor from a URL:

  1. Access the Email translation editor through the Translation screen as described above.

  2. Obtain the email URL by copying the URL address on the browser address bar. URL address can direct to:
    • Email translation editor — Directs to the Email translation editor with the first available email and language. For example, https://example.com/admin/translations-editor.

    • A selected email — Directs to a specific email in the Email translation editor. For example, https://example.com/admin/translations-editor/email/07d5fa62-afde-4531-947c-cb7c9b523177.

    • A selected email and language — Directs to a specific email and language in the Email translation editor. For example, https://example.com/admin/translations-editor/email/07d5fa62-afde-4521-947c-cb7c9b523177/lang/61a1087a-79f3-4bb3-80ae-a99f437d5051
      Tip: The string of letters, numbers, and hyphens after email and lang are email and the language IDs of the selected email.

Email translation editor screen

The email translation editor screen shows the email to translate and its possible variations, as well as the languages available to translate into. The screen is divided into two areas:

  • Original text area — Left area of the screen. It shows the email in the source language. Additionally, it displays:
    • Email — Lists the available emails to translate.

    • Variation — Lists the available email variations. Variations correspond to the different variants some emails may have when they are either conditioned ("If" statements within email HTML) to show certain content, or when Quick Start is enabled. Variations need to have their translations completed.

  • Translation text area — Right area of the screen. It shows the email translated into the target language, or in the source language if no translations has been provided. Additionally, it displays:
    • Languages — Available languages in Experience Cloud instance you can translate the email into. See Languages for more details.

Note: For cases where languages are unavailable (grayed out), either because they are inactive or set as usedForReporting, enable them in your instance by navigating to Locales and either unlock an existing locale or create a new one. Ensure that unlocking/activating an existing locale does not impact any survey.

Download HTML

Downloads a plain text file (TXT) with the raw HTML. This is particular useful when downloading emails with Excel cells exceeding 32,767 characters and showing the message NOT-DISPLAYED-SINCE-OVER-32K-CHAR-LIMIT.

Translating and managing emails

The Email translation editor is a visual editor used to translate all text strings that compose the different email sections. You can format content, including basic font options, text formatting button, and tools to manage links, and variables.
Restriction: The visual editor is not available for the email subject, image alternative text, button content, plain text email strings, and malformed HTML.

To translate the email content using the editor:

  1. Click More vertical icon. the editor menu to verify that email can be translated. If the email was marked as non-translatable, click Enable translation. See Email translation editor actions for more information.

  2. On the Translation area, hover over the Subject property and click it to open the email subject pane.

  3. Enter the translation text and click Add.

  4. Hover over the different email body section and click it to open the email body pane.

  5. Enter the translation text and click Add.

  6. Repeat the previous steps for every section that needs to be translated.

  7. Click Send preview to see how recipients experience the email. See Previewing emails for more information.

  8. Click Save.

Important: The editor treats each <p> tag as a formatting unit that, when editing it, affects everything within it. Additionally, the editor overrides translating custom HTML styles. To translate emails with custom HTML style and arbitrary markup, upload the translation as described in Translate strings in bulk.

Managing emails

To manage emails, click Match to update the translation to match the new original email HTML structure. This is only available when the original email HTML was edited and its structure has changed (for example, when adding a new paragraph) after the translation was made. Additionally, if a translation already exists, Match replaces it with the content of the original email.

Click Send preview to preview the translation. For more information, see Previewing emails .

Previewing emails

While translating an email, the Preview canvas displays an approximate version of the emails when sent. It is updated in real-time as you make changes, and shows variable names as placeholders for their values. Additionally, to test how recipients experience the translated email, select Send preview and complete the following:

Send to
Email address to send the email.
Languages
Languages to send the email into.

Click Show advanced settings to reveal the following:

Survey
Only when previewing Survey emails. Survey that the email directs the survey taker to. If none is chosen, one of the available surveys is randomly assigned to preview the email.
Survey design
Only when previewing Survey emails. A design for the survey. If none is chosen, one of the available designs is randomly assigned to preview the survey.
Variable values
Enter values to populate $EXPIRATIONDATE_PRETTY$ and $FIRSTNAME$ variables from the email. If no specific values are entered, random valued are assigned for each.
Tip: Preview the translated emails in different email clients, such as Gmail, Mozilla Thunderbird, Outlook, etc., to make sure the email is rendered as expected
