Manual Imports

Importing is the process of collecting external data and bringing it into Medallia Experience Cloud. The most commonly imported data include survey emails, user accounts, org hierarchy segments, and unit information. Usually this information is imported through automated processes. The Manual Imports screen allows you to manually import data using pre-configured templates.

Import templates screen

The Import templates screen lists the available templates, and provides details about each, including the type of data the template imports, the type of file (format) that the data must be in, and when the template was last used to import data.

Details pane

Click an import to reveal its details pane, which shows the following:
Type
Type of data being uploaded. This can be Users, Reference table, Survey opt out, Organization, Surveys, Erase identifying survey data, and Erase identifying user data.
File types
Type of files used to upload data. This can be .xls, .xlsx, .json, .xml, .spss, .sav, .txt, .csv, and .tsv.
Last import
Date and time of the last import.
Last import file
Last file imported for the template.
Last import status
Status of the last imported file. Status can be:
  • Success

  • Failed

  • Preview completed

  • Canceled

For the selected template, click More vertical icon. the details pane menu to view the history of that template for each file import.

New import

To import new data using a template, select the template and choose New Import. To create and manage templates, contact a Medallia expert.

Importing happens in three stages:

  1. Upload a file that contains the data to import.
  2. Preview the import file to verify it looks correct, and if correct, perform the import action. Alternatively, you can pause and resume the import at a later time.

  3. View a report of the completed import.

Upload File

Upload the import data file by either:

  • Dragging the file from your computer on to the dropzone.

  • Clicking browse file on the dropzone to open the file browser and select the file on your computer.

The data file and format of the data must match what the template expects. If you do not know the format:

  • Click Download to see the last import file that was uploaded for this template. Use that file as a model for your new import.
  • Contact your Medallia expert who has access to the import specification that defines the template.

Restriction: The uploaded file cannot exceed 10 MB in size. Contact your Medallia representative to request a higher file-size limit.

Preview Import File

Once you upload a file, you can click Preview. This triggers pretend mode (the file is processed, but the records are not added to the database), which can handle up to 100,000 records.

The Preview import file stage allows you to safely preview how the data will impact Experience Cloud. During this stage, Experience Cloud imports and validates data, discards any duplicates, and reports how the uploaded data will be imported. Some import types, like survey invitation emails, include additional steps that sample the data to ensure it meets certain business rules and requirements (like quotas, quarantines, and contact opt-out requests).

The Preview Import File screen reports the results and provides options for what to do next.

Every preview report begins with the processing status, the name of the import file, the name of the import template, and how long it took to process the file.

The input statistics show the following:

  • Count of records in the uploaded file
  • Count of records that failed validation or which are ignored due to sampling rules

  • Total records that passed validation and will be imported

The output statistics vary depending on the type of import. But it always reports how many records will be created or updated.

Note: If you want to fix the data and reprocess it, edit the original import file, go back to the Upload stage, and upload the corrected version of the file. The return to the Import Preview stage to see the results.

After viewing the preview report, you can:

  • See a detailed breakdown of the operation.
  • Cancel the import.
  • Download a report (Excel file) that provides specific details about the processing. For details, see Import report (Excel file).

  • Save the import for later. The import process is paused, later you can resume the import, which will return to this screen. See Resume an import for details.

  • Go back to the previous (Upload) stage.

  • Select Import to process the import and go to the next stage.

Important: When you are presented with the option to import — after the Import Preview step — Experience Cloud will process the data in active mode.

Import Complete

The Import complete stage reports the results of the import.

The information shown is the same as on the Preview import file stage, except the status says "Import completed" when successful.

After viewing the report you can:

  • See a detailed breakdown of the operation.
  • Close or Cancel to close the import and return to the list of import templates.

  • Download a report (Excel file) that provides specific details about the processing. For details, see Import report (Excel file).

  • Click Previous to return to the Upload File stage and upload a new file.

Import history

The Import history is a list of the most recent imports for the template. The number of imports listed depends on the company's data-retention policy for imported files: older imports are not available.

For the selected import, click More vertical icon. the details pane menu to view the import report, download the original data file, or download the processing report.

Resume an import

When an import was not finished — it was left in a preview state — you can resume the import process by clicking Resume next to the status in the import history or template details panes.
