How often are new clusters added?

On the 3rd day of each month, the Theme Discovery engine analyzes the sentences that were added within the last 30 days. It tags each sentence with the appropriate existing theme, and forms new themes for any sentences that remain untagged.

What is the difference between the themes you can link to, and the theme list displayed in the topic set?

The theme list displays the themes with the most untagged comments. The themes you can link to include the entire list of themes (not just the themes with the most untagged comments), and is searchable.

If I create a topic from a theme (by adding the theme to by my permanent topic list), and then add a new rule to that topic. Will that rule impact the comments that the theme is already capturing?

No. You can add rules to your topic to capture additional comments, but these rules will have no impact on the comments already being captured by the theme. So if you create a NOT rule, that rule will not remove sentences that are already captured by the theme. (However, it could remove sentences that are captured by other rules you’ve already added.)

The only way to remove comments captured by a theme is to click the minus sign next to each individual comment.

What happens after I remove a sentence from a theme by clicking the minus sign?

When you click the minus sign, the sentence is removed from that version of the theme. However, when one theme is linked to multiple topics, removing a comment from one of those linked theme will not not remove it from other versions of the same theme. The algorithm is unaffected by comment removal, so the theme will continue to capture similar sentences from incoming comments.

How does Topic Finder suggest themes to link to?

The system suggests themes based on the rules you create, so the relevancy of the suggested themes often increases as you create more rules (which is why the system does not suggest any themes for topics with no rules). The theme title is not a factor in determining the suggested topics list.

What happens after linking a theme?

When you link an existing topic to a theme, any comments associated with the theme will become part of the existing topic. The system will also create a new “version” of the theme specifically for the topic you’ve linked it to, so any changes you make to the linked theme (for example, removing comments) will apply only to that version of the theme.

Example

Suppose the comment The coat was too large to be a size small is captured by the Coat Size theme. If you link the Coat Size theme to the Selection - Size topic, Medallia Text Analytics creates a new version of Coat Size, and that comment (The coat was too large to be a size small) is tagged by Selection - Size.

Next, suppose you also link Coat Size to the Suit topic. Text Analytics creates a separate version of Coat Size for the Suit topic, and the comment (The coat was too large to be a size small) is now tagged by both Suit and Selection - Size.

If you then remove the comment The coat was too large to be a size small from the version of Coat Size that is linked to Selection - Size, the comment will no longer be tagged by Selection - Size. However, the comment will continue to be tagged by Suit, since you did not remove the comment from that version of the automated topic.

However, if you make different changes to the separate versions of Coat Size, the Coat Size theme for both Selection - Size and Suit will continue to capture the same incoming comments, since the algorithm is unaffected by comment removal.

When you link to a theme, if this a one-time linkage of the sentences currently found in the theme, or will future similar sentences also be captured by the linked theme?

The theme does not stop capturing comments after you link to it. Linked themes continue to capture similar sentences from incoming comments.

Are themes part of the backups? If we export the code of the current topics and rules, would this include the themes which we have linked? Will they be linked once the backup file is imported back into Experience Cloud?

No, themes are not exported as part of backups. You would have to link to them again once the file is imported back into Experience Cloud.
