Users Preferences

Company > Users > Users > Preferences

Sets a user's default values for report filters. These are the values that are shown when a user signs into the application. Some of the filters on this screen apply to all reports, while others apply to specific reports.

These default filter options can be defined in three places in Experience Cloud:

  • Company > Users > Your Preferences is specific to the current User. Individual user preferences have priority over preferences at role-level.
  • Company > Users > Users > Preferences sets defaults for any specific user. If you select your current user, then you'll be editing the same values that are shown in Your Preferences
  • Company > Users > Roles > Preferences sets the defaults for all Users of a Role.
    Important: To access this screen,  users need the "Access to the 'User preferences screen'" Capability.

Filter defaults properties

The first set of filter options on this screen are specific to the company's configuration, so they may vary.

The remainder of the filter options are standard, system-defined filters. These include:

Note: For Roles, this option is on the Roles screen instead of Preferences.
Important: After changing and saving the filter defaults for your current user, you must sign out and sign back in to see the changes on the report screens.

Word cloud defaults

Languages to include in the Word Cloud report section of some reports. Leave the right-side blank to show all languages (the default).

Even though this list includes language variants (such as English US and English UK), selecting a variant shows results for the general language (such as all English responses).

Warning: This option only has effect when the Word Cloud is configured to show Non-English language survey responses. Change that setting in Reporting > Reports > Word Cloud.

Email Notifications

Note: You can only change this setting for your current user.

Specifies when Experience Cloud sends email notifications for new survey responses. The default behavior is to never send these.

To receive notifications, define a scope that identifies which survey responses will cause notifications. A scope filters survey results to those that pertain to specific organizational areas of the company or to specific customer segments, or a combination of both.

  • A scope can select multiple organizational areas. A response in any of the selected areas is a match (the areas OR'd).
  • A scope can select multiple customer segments. A response in any of the selected segments is a match (the segments are OR'd).
  • When both organization areas and customer segments are selected, there must be at least one match in both areas (the areas are AND'ed).

A User can have multiple scopes to define multiple notification criteria.

To define a scope:

  1. Click Add New Scope.
  2. Click Edit next to the newly listed scope.
  3. In the Default Selections dialog, choose the organizational areas and/or customer segments.
  4. Click Save Changes.

The scope definition is immediately put into effect. You do not need to sign in and out to start receiving notifications.

Using JSON to set default filters by role

Note: This can only be configured at role-level preferences.
In addition to the general default filter settings you can configure in the dropdown properties on the Preferences screen, you can also use the Left-hand filters property to set default filters by role using JSON.
Note: This is an advanced configuration, Medallia recommends that you instead use data-access to control what users can see in reports. If you must use role-based default filters, consult with your Medallia Expert Services team or partner before starting this procedure.
  1. Open a common report (such as the Responses List or Satisfaction Table reports) in the reporting application.
  2. In the Control Panel, select the filters to apply to a role, and then click Run.

  3. Next to your user name click the Bookmarks icon, click Bookmark this page, and then click Save.

  4. On Company > Users > Bookmarks, select the bookmark you created (listed under your account).
  5. Select the JSON code into the OPTIONBOX_MULTIFILTER property.

  6. On Company > Users > Roles > Preferences, select the role to which to apply the filter settings.
  7. In the Left-hand filters property, paste the JSON you copied from the Bookmarks screen.

  8. Click Save.
  9. Switch to an account with the role you edited, then verify the default filters work as expected in the reporting application.
