Invitation Ranker reports

Important: Configure Invitations List and Invitations Form reports in Medallia Admin Suite, as explained in Invitations reports. For Invitations Ranker reports, use the Dashboard Ranking module, which was introduced as part of Medallia Alchemy Experience Reporting. Medallia recommends that you migrate any existing Invitation Ranker standard reports to the new module, and then remove access to the legacy report. For more information, see Removing access to legacy Invitation Ranker reports, below.

Invitation Ranker reports ranks individual units by various categories, such as Invitations Sent, Response Rate, and Invitations Completed. Users can select a question in the Questions dropdown to rank invitations according to answers to that question. You define which Questions users can select, as described below.

If you want to display the status of invitations, Medallia recommends using the a_invitation_status field, which shows Completed and Opted Out values.

To see a more complete range of values, consider using the e_status field, described fully in Survey status (e_status). Note that many e_status values are not necessarily user-friendly. Also note that the following states are not available to Slug (the Medallia Experience Cloud in-memory data set), and can never appear in Invitations reports:

  • NO_INVITE
  • JUNKED
  • COMPLETED_NOT_LOADED_BY_SLUG

To display a specific subset of e_status values, or to map those values to more user-friendly values, create a K-field for your report. See K-fields for information about creating K-fields.

Invitations appear in the report immediately after being created, and the status of each invitation is updated as it progresses through the inviting process. For more information about the inviting process, see Inviting.

Configuring which fields are searchable in reports

By default, Experience Cloud includes a Searchable Fields (completed surveys) report module defined for all users, with a child report item that makes the Survey ID, Email, and Phone fields searchable in reports. Searchable fields are set globally for all reports in your instance, so if you want to add or remove fields from search, modify the provided report module.

  1. Open the Reporting > Reports > Standard Report Modules screen.
  2. Click the report item under the Searchable Fields (invitations) report module.
  3. On the Add/Remove tab of the Selected Fields table, select the fields you want searchable and then click Add.
  4. Click Save.
  5. In the MemberRoles property, select all roles by moving them to the right-side box. Searchable Fields module
  6. Reindex the set of searchable field data:
    1. Open the Reporting > Report Helpers > Lucene screen.
    2. Turn on the Enable TALL_SET for lucene (invitations indexing) property, and then click Save.
    3. Turn on the Confirm property, and then click ReloadFullTextIndex.

Configuring which questions are available in Invitation Ranker reports

  1. Open the Reporting > Reports > Standard Report Modules screen.
  2. In the Filter by Kind / Workspace dropdown select Invitation Ranker Questions Dropdown.
  3. If there are report modules of this type already created, review them and their child report items to determine whether they suit your needs. To make different sets of questions available for specific roles, complete the remaining steps in this procedure for each unique combination of roles and questions.
  4. Create a new Invitation Ranker Questions Dropdown report module to define role access.
    1. Click New Standard Report Module.
    2. For the Kind property, select Invitation Ranker Questions Dropdown.
    3. Enter a Name and a Priority.
    4. Leave the Create Skeleton property turned on, and then click Save. Experience Cloud automatically creates an Invitation Ranker Questions Dropdown child report item.
    5. In the Member Roles table, choose the roles that will use this report module.
    6. Click Save. Invitations Ranker Questions Dropdown module
  5. Define the first set of questions available for the roles you specified in the report module.
    1. Select the new child report item.
    2. Enter a Name that describes the set of data that will be listed when the user selects it in the Question Group field of Invitations Ranker reports. For example, you might name your set Invitation Operational Metrics.
    3. On the Add/Remove tab of the Selected Fields table, select the fields you want to display as part of this set, and then click Add.
    4. On the Sort tab, reorder the fields from top-to-bottom as you want them to appear in Invitations Ranker reports from left-to-right.

Configuring which roles can use Invitations Ranker reports

You must assign the View Invitation Ranker capability to the roles you want to use Invitations Ranker reports.

  1. Open the Company > Users > Roles > Roles screen.
  2. Select a role.
  3. In the MemberCaps property, choose the View Invitation Ranker capability by moving it to the right-side box.

  4. Click Save.

Assigning the standard report to a subtab in report navigation

To display a standard report you must assign it to a subtab in report navigation. For more information, see Navigation.

Removing access to legacy Invitation Ranker reports

As you migrate away from legacy Invitation Ranker reports to the Dashboard Ranking dashboard module in Medallia Alchemy Experience Reporting, consider removing access to the legacy report.

  1. Remove roles from each Invitation Ranker system report:
    1. Open the Reporting > Reports > Standard Reports screen.
    2. In the list of reports, select an Invitation Ranker report.
    3. Remove all roles from the MemberRoles property, and then save and publish your changes.
  2. Remove role-based permission to legacy Invitation Ranker reports:
    1. Open the Company > Users > Roles > Roles screen.
    2. In the list of roles, select a role.
    3. Remove the View Invitation Ranker permission from the MemberCaps property, and then click Save.
