Action plans

An Action plan is a group of specific tasks designed to achieve a specific goal, usually based on feedback received from respondents. For example:

  • A regional manager at a retail company might notice a trend of lowered satisfaction scores from respondents at a particular store, and then create an action plan for the store manager to reverse the trend.

  • An insights user might notice that respondents have negative sentiment when commenting about certain topics, and then create an action plan to track the progress of improving sentiment for those topics.

When you open the Action Plans screen, in the Current Action Plans tab, a table is displayed if there are action plans created. For example, this image shows an Action Plans table with two Action plans created:

Access Action plans

To use Action plans, roles need one or more of the Action plan permissions under the Action Plans section listed in Reporting permissions. For more information, see:

To launch the Action Plans screen, click Action plan icon. Action Plans in the Medallia Web reporting toolbar:

When the Switch app icon. Application switcher is enabled, click it in the Medallia Web reporting toolbar, and then select Action Plan:

Restriction: This feature is inactive by default. Ask your Medallia expert to file a Feature activation request with Medallia Support.
You can also activate and manage how users interact with Action Plans within reporting modules. For more information, see Action Plans from Reporting.

Action plans search

On the main Action Plans screen, users can search for action plans from all of the action plans on your Experience Cloud instance. A basic search finds plans based on the text plan creators entered in the Plan Title and Plan Description properties. For example, this simple search finds any plan with fitting room in the title or description:

For a more detailed search, click Advanced to expand the search criteria box, then enter more detailed search criteria and click Run. Advanced searches enable you to find action plans that were associated with drivers, tags, themes, and so on.

All advanced search returns only the action plans that match all of its search criteria. For example, these search finds all action plans created by Joseph Logan, owned by Jane Smith, are currently in progress, and that are associated with the Address Issue Problem theme and Fitting Rooms topic:

If you filter by Unit, you can select a Unit group or a Unit.

Notifications and alerts

The notification center shows all action plan and task notifications. When a user has at least one notification, a Bell icon bell appears in the Toolbar in Medallia Web reporting

Click the notification tile to open the source that triggered the notification.

These events trigger action plan and task notifications:

  • An action plan or a task is assigned or reassigned.
  • An action plan status changes.

To enable or disable action plan notifications, navigate to the Reporting > Action Plan Settings > Notifications screen in Medallia Admin Suite, and click Save.

Export action plans

After opening an action plan, you can export offline copies of all sections of the detailed view of the action plan.

Click Download icon. Export in the Medallia Web reporting Toolbar to open a menu with export options, which includes:

  • PDF — Downloads a PDF of the Action plan using the Medallia Web reporting export functionality, which provides more control of the file's appearance.

  • Powerpoint — Downloads the Action plan as a PowerPoint file, with one section on each slide.

  • Image — Downloads the action plan as a PNG file, with all sections of an action plan.

  • Orientation — The layout of the exported file, either Portrait or Landscape.

  • Scale — The relative size of the text and visualizations in the exported file, either Regular or Large.

  • Logo — Optionally, you can add a small image as a logo to the upper-left corner of the exported file. You can also upload your own image.

Important: PDF settings are retained across sessions for reporting users.
To return to the default settings, select Reset. This action will revert all PDF export settings to their original state.

Action plan templates

You can create action plans from templates. To access your templates and manage them, navigate to Manage template tab in the Action Plans screen.

Bulk actions

Roles with the Action Plan Super User reporting permission can use the Auto Importer processors to perform bulk management operations on action plans and tasks.
