Filters and controls
Most reports have a Control Panel at the top of the screen that allows users to filter and organize the data shown in their reports. For example, this image shows a Control Panel above a Satisfaction Graph report:
You define which fields appear in the Control Panel, and what options can be selected for those fields. You can also choose the ordering of your company's hierarchy and segments to fit your company’s use cases. As with other aspects of Experience Cloud reporting, you decide which roles can see which fields and selections.
Users can make multiple filter selections for each field. As they make selections, many of the remaining filter options adjust dynamically so that only applicable options are available. If users select multiple options for a field, the search for that field is treated as an OR search. For example, if a user selects California and Kansas for the Region field, the report returns responses from the California region as well as responses from the Kansas region. When the user clicks Run, fields in the Control Panel are collected in a single AND search, so that each record returned by the search must match all field selections. For example, if a user adds a Timeperiod of Year To Date to the previous region search, the report returns only the California and Kansas responses for the current year.
Persistence and precedence with filters
Filter selections are persistent. When you filter a report, those selections are kept when you open a new report. For example, if you select a Timeperiod value and then click Run, the report you are viewing is filtered by that timeperiod. If you switch to a different report, that report is also filtered by the Timeperiod value you selected. To revert to the default Control Panel settings for any report, click Reset.
Experience Cloud applies these filter settings to reports, listed in order of preference:
- The most recent filters applied to a report by the user.
- Default filters defined in the report.
- User preferences, as described in Users Preferences.
- Role preferences, as described in Users Preferences.

For example, if you filter the Responses List report by a Timeperiod and then open the Invitations report, the Timeperiod of the Invitations report is set according to the default Control Panel settings for that report. When you leave the Invitations report, the persisted Timeperiod value from the Responses List report is used again.

Control Panel layout
The left side of the Control Panel always lists the Timeperiod and Reporting Date fields first, followed by the dropdown and segment fields you define for each role's Control Panel in Medallia Admin Suite. For more information about configuring the Segments, see Filters and control panels.
The right side of the Control Panel includes other filter options according to the type of report being displayed. System reports and dashboard modules include the filter fields associated with their report or module type. Custom reports include the filter fields you define.
Control Panel fields associated with reports
The Timeperiod and Reporting Date fields are always available in the Control Panel. Additionally, many Experience Cloud reports include fields by default to help users filter data for that report.
- Dashboard modules have fields according to their filters. For more information, see Dashboards.
- Standard reports include fields according to the type of standard report and the roles associated with the report. For more information about the fields associated with each standard report type, see Standard reports.

- Custom reports have only those fields you define as part of the customer report XML. For more information, see XML and AA2 XML basics.
- Embedded applications have fields associated with the plugins you enable for that application through the EnableOptionbox and MemberEmbeddedAppOptionboxPlugins properties on the Reporting > Reports > Embedded Apps screen. Dynamic filtering
Some filtering controls update to show only options that would yield matching responses, while others do not. Filtering controls may be:
- Static — Changing the selected option in any other field does not alter the options available in a static field. Changing the selected option in a static field does not alter the options available any other field. These fields modify report content rather than adjust which surveys are being evaluated.
- Dynamic — Changing any non-static field causes Experience Cloud to adjust the options available in dynamic fields according to available data.
- Pivot — Changing the selected option in any other field does not alter the options available in a pivot field. Changing the selected option in a pivot field causes Experience Cloud to adjust the options available in dynamic fields according to available data.

Segments, unit fields and unit group fields Score is dynamic with respect to the Feedback Type field because the set of available scores is adjusted based on the selected feedback type. Configure filters and the Control Panel
Before you begin, you should understand:
- How the units at your company should be organized for reporting purposes. For example, you might want to group units by sales territory, line of business, geographical region, and so on.
- The type of data you receive in responses.
- How your users need to parse data.
- The default Control Panel fields for dashboard modules and system reports.
To configure the aspects of Experience Cloud that affect the Control Panel:
- On the Company > Units > Groups screen, organize your units into the unit groups that appear as dropdown fields in the Control Panel.
- On the Reporting > Report Helpers > Profiler or Segment Groups screen:
- Configure segment groups that will appear as segment fields in the Control Panel.
- Select the Columns Dropdown property for any segment group to appear in the Columns field of the Control Panel.
- On the Reporting > Report Helpers > Time > Timeperiods screen, configure the time periods to appear in the Timeperiod field of the Control Panel.
- On the Reporting > Report Helpers > Time > Time Fields screen, choose the date fields to appear in the Reporting Date field of the Control Panel.
- On the Reporting > Report Helpers > Time > Timeperiods screen, create a Benchmark time period for each time period to appear in the Benchmark field of the Control Panel.
- On the Reporting > Report Helpers > Calculations screen, configure which calculations to appear in the Calculation field of the Control Panel.
- On the Reporting > Reports > Standard Report Modules screen, configure these report modules to determine the questions to appear in the Question Group field of the Control Panel for Invitations Ranker and Analytics reports:

- On the Reporting > Reports > Standard Report Modules screen, configure a Satisfaction (Sat., Score Filter) report module to determine the scores to appear in the Score Filter field of the Control Panel.
- On the Reporting > Reports > Standard Report Modules screen, configure these report filters to determine the fields to appear in the Search field of the Control Panel:
- Searchable fields (completed surveys)
- Searchable fields (invitations)
- Configure Text Analytics to create the tag pools and tags that populate filter selections in the Control Panel.

To allow users to create their own custom groups in the Control Panel, assign their roles the Custom groups enabled (for multi-select filters) capability.
- On the Reporting > Action > Alerts > Type Settings screen, use the Alert Filter per workspace property to choose which alerts to appear in the Alert Filter field of the Control Panel.
- On the Reporting > Report Helpers > Optionbox Setting > Optionbox Settings screen, configure the general settings that apply to your entire Experience Cloud instance, for all roles and across all unit groups.
- In Medallia Admin Suite, configure which segment fields are available to each role's Control Panel, as described in Filters and control panels.
