Configuring Satisfaction reports in Setup
The following procedures describe how to configure various aspects of Satisfaction reports in Setup. In most of these procedures you create or modify report modules and report items on the Standard Report Modules screen. As you configure report modules and report items, periodically switch to different accounts to verify that the reports appear as you expect for different roles. For more information about switching accounts, see Switch account.
Configuring sample size
Sample size is crucial for statistical significance because it ensures the number of responses is large enough for the results to be considered statistically significant. If you segregate survey programs by role, you might want higher sample sizes for roles viewing customer responses, and lower for those viewing employee responses. To accomplish this, set default sample sizes on the Company settings screen, and role-specific overrides on the Sample size screen.
- Set the global, company sample size:
- Open the Company > Profile > Company Settings screen.
- For the MinSampleSize property, enter a number for the minimum number of surveys to be considered meaningful.
- For the HideSampleSize property, enter the number of surveys required to see data. A number of surveys below this number hides data from reports.
- If you want to allow users to show/hide data when it is hidden, turn on the Allow Low Samplesize Hiding property.
- Click Save.
- Set any role-specific overrides you need for sample size.
- Open the Reporting > Report Helpers > Sample Size screen. Each role has its own set of override fields. If you leave them empty, they use the default. If you enter values, they override the company settings.
- For the Min sample size property, enter a value to override the company MinSampleSize setting.
- For the Hide sample size property, enter a value to override the company HideSampleSize setting.
- For the Allow low sample size (LSS) hiding property, select one of the following values:
- USE_COMPANY_SETTING — Defaults to the default company setting
- Yes — Allows users to show/hide rows with low sample sizes, regardles of the company setting
- No — Prevents users from showing/hiding rows with low sample sizes, regardless of the company setting
- Click Save.
Customizing distribution of scores
You can customize the distribution of scores displayed by setting the ScoreDistrString property on the Company settings screen.
- Open the Company > Profile > Company Settings screen.
-
For the ScoreDistrString property, enter the score ranges to be used in distribution scores, and then click Save. Format the list as a comma separated list of
X-Y-Zvalues, whereXis the minimum score,Yis the maximum score, andZis the display column. For example, the following image shows a9-10-5,7-8-4,5-6-3,3-4-2,0-2-1distribution.
Selecting which questions appear in Satisfaction Table reports
The questions you select are available in the Question dropdown for Satisfaction Table reports.
- Open the Reporting > Reports > Standard Report Modules screen.
- Click New Standard Report Module. The report module defines a section of fields you will display in Satisfaction Table reports.
- For the Kind property, select Satisfaction (Sat., Score Filter).
- Enter a Name and a Priority. The Name will show as the section header in Satisfaction Table reports.
- Turn on the Show heading for each section property.
- Leave the Create Skeleton property turned on, and then click Save. Medallia Experience Cloud automatically creates a child report item.
- Click Save.
- Create child report items to define subsections of fields in the section defined by the report module.
- Select the new child report item.
- Change the Name to a header that describes the fields you will include. For example, Key Drivers.
- Enter a Priority.
- On the Add/Remove tab of the Selected Fields table, select the fields you want visible and then click Add. Note: If you are using Medallia Mobile, do not add fields with an AUTOINDEX_TEXT alt set. While those fields are hidden automatically in the web version of the reporting app, they produce errors in Medallia Mobile.
- On the Sort ab, reorder the columns from top-to-bottom as you want them to appear in Satisfaction Table reports.
- Click Save.
- Repeat these steps for other groups of questions you want in the section.
- Add the module to a Satisfaction standard report, as described in Creating standard reports for your Satisfaction reports.
Configuring which fields are searchable in reports
By default, Experience Cloud includes a Searchable Fields (completed surveys) report module defined for all users, with a child report item that makes the Survey ID, Email, and Phone fields searchable in reports. Searchable fields are set globally for all reports in your instance, so if you want to add or remove fields from search, modify the provided report module.
- Open the Reporting > Reports > Standard Report Modules screen.
- Click the child report item under the Searchable Fields (completed surveys) report module.
- On the Add/Remove tab of the Selected Fields table, select the fields you want searchable and then click Add.
- Click Save.
- In the MemberRoles property, select all roles by moving them to the right-side box.
- Reindex your set of searchable field data:
- Open the Reporting > Report Helpers > Lucene screen.
- Turn on the Enable TALL_SET for lucene (invitations indexing) property, and then click Save.
- Turn on the Confirm property, and then click ReloadFullTextIndex. For more information about using the Lucene report helper, see Lucene.
- Add the module to a Responses Form standard report, as described in Creating standard reports for your Satisfaction reports.
Creating standard reports for your Satisfaction reports
You must create role-based standard reports to contain the modules you created in earlier procedures. Medallia recommends that you always create a Satisfaction Table report, which serves as the primary report for satisfaction results.
- Open the Reporting > Reports > Standard Reports screen.
- Click New System Report.
- For the ReportType property, select the report type you want to create.
For example, Satisfaction Table.
- For the MemberRoles property, choose the roles that can use this report by moving them to the right-side box.
A draft is saved automatically when you assign roles.
- Complete the following steps for each standard report module you want to add to the standard report:
- With your new report selected in the list, click Add System Report Module.
A new module is added as a child item of your standard report.
- In the SystemReportModule property, select the report module you want assigned to the report.
The list of available reports is limited to the report modules appropriate for the standard report type.
- Click Save Draft.
- For the Restrict to Roles property, grant access to one or more roles by moving them to the right-side box.
The roles you select for the module can be a subset of the roles with permission to use the parent standard report.
- With your new report selected in the list, click Add System Report Module.
- Repeat this procedure for other standard reports you want to create.
-
When you are ready to make your report available to users, publish the standard reports and their modules, and then assign the standard reports to subtabs in report navigation. For more information, see Navigation.
Configuring which roles can use additional Satisfaction report functionality
Basic access to Satisfaction reports is defined by the roles you assigned to the reports on the Reporting > Reports > Standard Reports screen. However, some Satisfaction report functionality requires you to grant additional specific capabilities.
- Open the Company > Users > Roles > Roles screen.
- Select a role.
-
In the MemberCaps property, choose one or both of the following capabilities by moving them to the right-side box, and then click Save:
- Significance Testing on Satisfaction Table — Allows access to significance testing in Satisfaction Table reports.
- Mobile XP Scorecards Module — Allows access to the Scorecards report, which is the Mobile version of the desktop application's Satisfaction Table report.
