Surveys

Surveys guide survey takers to answer questions about their experiences, by asking specific questions that measure the interaction between respondents and company units. Surveys can be both solicited and unsolicited, and they can appear in several formats. The most common form of survey a form-based web page the survey taker answers in a browser. For example, a hotel might email a survey about room conditions and staff friendliness to each person that stayed with them, or a sports goods store might have a receipt survey that inquires about the shopping experience.

Different forms of surveys often serve distinct segments within a contact base, and can also capture different types of information. For example, while a department store might send email surveys to those who are a part of its loyalty program, it might use receipt-based surveys to capture the feedback of its first time buyers.

When creating surveys, it is important to understand the business objectives, the relationship with the respondents, and the company's IT capabilities, all to ensure the survey is both appealing and relevant. For example, an investment company with a longstanding relationship with its customers and a sophisticated database of information needs different survey forms and content than a retail store that doesn't necessarily gather email or other demographic information from its buyers. Surveys are also a great opportunity for companies to positively represent their brand through the design of the emails and survey.

Admin Suite Surveys enable you to create and modify all surveys, which are paired with other elements to build the actual surveys that help you gather feedback. Through a single interface you can:

  • Create survey questions, grouped in meaningful pages.
  • Add HTML, images, and other formatting elements.
  • Preview and test surveys to validate they behave as expected.

Surveys screen

The Surveys screen lists all of the surveys available for that particular company instance. Surveys are sorted by the last modified date and can be filtered by Program. Use the search bar at the top of the list to search for a particular survey.

Details pane

Click a survey to reveal its details pane, which shows the following:
  • Details tab — Summarizes the most important information of your survey, such as:
    • Versions — Number of versions the survey has. For more information, see Survey versions.

    • Live links — Number of Live links that use the survey. For more information, see Survey link screen.

    • Preview links — Number of Preview links that use the survey. For more information, see Create preview survey links .

    • Created — Date the survey was created.

    • Last modified — Date and user that last modified the survey.

    • Version thumbnails — Displays a thumbnail of the Most recent version and the Default version of the survey, along with the version menu. For more information, see Survey versions.

  • Distribution tab — Distribution logic applicable to the survey. For more information, see Survey distribution.

  • In Use tab Experience programs where the survey is being use.

Edit survey details

General details about the survey, such as name, description, and Survey distribution.

Duplicate survey
Creates a copy of the survey. Choose Copy all questions to duplicate the survey by generating new Question IDs for the survey questions, thus storing their response in a separate Feedback field. Select Reuse all questions to copy the survey using the same Question IDs from the original survey and store question responses in the same Feedback field. For more information, see Questions.
See all versions

List with information about all the existing versions of the survey. Click See all to open a new list, showing information about all versions of that survey. For more information, see Survey versions.

Upload version

Imports a survey version previously downloaded. For more information, see Download and upload versions.

Edit Translations

This takes you to the Translations editor which is the building area where you add, edit, and delete sections and content for surveys. For more information, see Translations.

The filter section on the Translations screen shows the following content and options:

  • Asset type — Surveys

  • Asset name — Name of the selected survey

  • Language — Default

  • Status — All translations

  • Category — Default

Create and manage surveys

To create a survey:

  1. From Surveys screen, click New survey.

  2. Enter a name for the survey and, optionally, a description.

  3. Optionally, click Show advanced survey details to distribute the survey using a personalized invitation email. For more information, see Survey distribution.

  4. Click Save. This opens the Survey editor to build your survey.

Manage surveys

To manage a survey, click Edit to modify its content, or click Edit survey details on More vertical icon the details pane menu to modify its general settings.

Survey distribution

Surveys can distribute surveys using two different methods:

  • Personalized invitation — Event-based (or feed-based) surveys unique to each individual record and created based on information known about both the person and the event. Potential survey takers access the survey via an Invitation email.

  • Anonymous links — Surveys are created on-demand when a respondent attempts to take them.

Personalized invitation

When a potential survey taker is identified from an invitation file, the condition under Personalized invitation is evaluated to determine what survey can be sent out. Your file (which lists the recipients that will receive the Invitation email to take a survey) needs a column for that field, with a value appropriate for each record (that is, each file row). When your file is processed, Experience Cloud compares the rule entered for Personalized invitation of each survey to data in the file. When Experience Cloud finds a match, it builds a survey based on the Default version of the matching survey and then sends it to the recipient.

Tip: While Experience Cloud builds personalized invitations using the Default version of a survey, you may select another version for Sampling Operations in the Auto Importer UI. For more information, see 3. Choose the database update option.

For example, if your company has several brands, you might want to send different surveys to customers of each brand. To do this, you first need a Brand field (e_brand) in your data to track your brands. If you want to send a survey only to customers of Brand 1, the rule for that survey will be Brand = 1. If you want to send a survey to customers of Brands 1, 2, and 3, you would specify a rule for that survey as Brand in {"2","3","4"}. For more information, see Logic, rules, and conditions.

If the fields in the condition exclude the survey from an Experience program, adding a field that is not part of the Experience program condition string relationship does not have a downstream effect in programs. However, if a field is added using the Any rule operator (OR operator), it would add that survey to other Experience programs. For example, take Survey program = B2B AND Account = present, where Account present is added: it does not impact Experience programs if Account is not part of the condition string relationship. Conversely, if it the condition is Survey program = B2B OR Account = present, there will be an impact since Account present could evaluate to true for any program.

Note: By default, personalized invitations are disabled. To remove a previous condition, set its value to false.

Anonymous links

Anonymous links are used to deliver Anonymous surveys, which are generated with no prior knowledge of who the survey taker is. As opposed to personalized surveys, Anonymous surveys are not delivered via an Invitation email and do not require a distribution setting to send out the survey. Instead, survey takers reach the survey by clicking a link.

Survey editor

The Survey editor is the building area where you add, modify and delete pages and content for surveys. When you open a survey, the survey editor shows two main areas:

  • Structure pane — The structure pane lists the pages and their content in the order they appear to survey takers, allowing you to locate content quickly. By clicking the structure pane menu, collapse and expand all pages and groups, as well as editing the survey settings on Survey settings.

  • Canvas — The canvas presents those pages and their content visually to help you organize pages and content from the survey taker perspective. The canvas is brandless, so it does not include look-and-feel elements. See Survey preview below to know more about previewing surveys with branding content. Additionally, the canvas allows for creating different versions of the survey. For more information, see Survey versions.

Tip: In Ad Hoc surveys, the Survey editor works slightly different. For more information, see Survey.

Pages and content

Surveys are organized into pages, which represent sections in the survey. For more information, see Survey pages.

Pages are made up of different content elements, such as the questions you want survey takers to answer. For more information, see Survey content.

Versions

Survey versions are save points of your work from a survey. A single survey can have multiple versions that can be used to test changes on a version before making it available to survey takers. For example, you might create a version of a survey for internal review, and then create another version with changes made based on review feedback.

Preview

Preview shows how the survey will look and feel for the survey taker. It presents exactly what survey takers would see, and allows you to answer questions, select options, and navigate through the pages in the survey. When previewing a survey, none of your actions in the survey are preserved, and do not affect reporting for survey responses submitted by survey takers.

Download

Download generates a file of the complete survey flow in its current state — either in .docx or .pdf formats — that can be shared and sent among collaborators to obtain feedback and suggestions.

Survey settings

Survey settings are editable properties applied to the complete survey and its versions. To access the survey settings, clickMore vertical icon the survey structure pane menu and select Edit survey settings.

Survey settings includes these properties:
Browser title

Survey name displayed on the browser tab when taking the survey. By default, Survey title is blank and the browser name is Survey.

Survey timeout
Number of minutes of inactivity before the survey-taking session times out. If set, a special Survey timeout page is shown to the survey taker. Click the dropdown menu to choose:
  • No survey timeout.
  • Timeout after 15 minutes.
  • Timeout after 30 minutes.
  • Timeout after 60 minutes.
  • Custom — Enter the number of minutes to timeout after. The minimum is 15 minutes.
Important: If the survey has an Expiration and timeout set, the timeout value prevails during the survey-taking session.
Timeout warning
Number of minutes of inactivity before showing a warning of impending timeout. If both Time duration (minutes) and Timeout warning (minutes) are 0, survey timeout is disabled. Click the dropdown menu to choose:
  • No survey timeout warning.
  • Timeout warning after 15 minutes.
  • Timeout warning after 30 minutes.
  • Timeout warning after 60 minutes.
  • Custom — Enter the number of minutes to show the warning alert. The minimum is 15 minutes.
Note: Survey timeout and Timeout warning do not apply to Anonymous surveys.
Tip: These basic properties can be translated in Translations under Shared survey text category.

Advanced settings

Click Show advanced settings to reveal these properties:

Hide the back button
Prevents the survey taker from going back to previous page to change their responses. Even when using the browser's back button, the survey taker is directed to the same page.
Show custom footer on every page
Displays a custom footer (configured to appear on the first page of the survey) on all survey pages, otherwise the footer only appears on the first page. Contact your Medallia expert to configure custom footers.
Show native dropdown
Survey displays language selector using the browser's native style instead of v7 designs style for language selection dropdown. Use this option if your accessibility preferences require so.
Enable use of user location
Survey temporally stores the survey taker's location in the User location (m__user_location) field to use it in Display logic during the survey session. It is picked up as latitude/longitude information from some JavaScript executed by the survey taker's browser, who are prompted to share this information. For more information, see Geolocation for surveys.
Disable Quick Start
Disables Quick Start for mainly SMS surveys. For email-to-web surveys, Quick Start should be disabled from the Email editor. For more information, see Disable Quick Start.
Debugging URL
URL that overrides the application that renders the survey, for example https://cdn.medallia.com/react-surveys/<release-tag>. Used by Medallia for internal troubleshooting in Sandboxes only (not production environments).

Legacy surveys

For surveys created in older Admin Suite Surveys versions, you see these advanced properties:

Hide the back button
Prevents the survey taker from going back to previous page to change their responses. Even when using the browser's back button, the survey taker is directed to the same page.
Show custom footer on every page
Displays a custom footer (configured to appear on the first page of the survey) on all survey pages, otherwise the footer only appears on the first page. Contact your Medallia expert to configure custom footers.
Show native dropdown
Survey displays language selector using the browser's native style instead of v7 designs style for language selection dropdown. Use this option if your accessibility preferences require so.
Enable use of user location
Survey temporally stores the survey taker's location in the User location (m__user_location) field to use it in Display logic during the survey session. Enable mobile page separators
Survey takers on mobile devices do not see the explicit page indicators in the area that shows the survey progress.
Debugging URL
URL that overrides the application that renders the survey, for example https://cdn.medallia.com/react-surveys/<release-tag>. Used by Medallia for internal troubleshooting in Sandboxes only (not production environments).
Client name
Client parameter when sending data to Google Analytics. Client name appears on the browser tab when taking the survey, either alone or in combination with the Browser title, if any. For more information, see Browser title above.
Disable the Medallia privacy link and TRUSTe image
Survey footer shows a link to Medallia privacy policy.
Show survey support link
Survey footer shows a link to Survey support page.
Disable support link in footer
Survey footer does not show a link to Medallia Support portal.
Hide survey progress bar
Survey does not show the progress bar.
Style
Shows design style (v6, v5) when not using v7 designs style.
Relative path for images
Path where the Survey Engine stores static resources, such as images and CSS. By default, path is /static.
Internal name
Internal name for the survey.
