Survey

Survey allows for creating and customizing the survey, as well as choosing any existing design to match your brand needs.

A survey asks specific questions to measure an interaction between a survey taker and a company, and it contains certain structure and elements to make it possible. A design, or brand, controls the appearance of the survey and how it looks and feels for the survey taker. If your instance has Medallia Text Analytics, you can also select any of the Topics to find and capture phrases about a particular subject in Ad Hoc survey open-ended questions.

Survey and brand uses the Survey editor to build the survey, though it contains some slight differences listed below that are only applied to surveys created via Ad Hoc surveys.

Survey step with a survey design chosen.

Restriction: Existing surveys cannot be used in Ad Hoc surveys, but you can use existing designs.

Create a survey

To set up a survey, click Create survey. This takes you to the Survey editor, which is the building area where you add, modify and delete pages and content for surveys. Note that to pipe-in variables in surveys they first need to be mapped to a field in the Upload file step.

Clicking "Create survey" takes you to the survey editor to build the survey. Once done, click "Return to survey" to go back to the survey editor.

After creating your survey, click Return to Ad Hoc survey. To edit the survey back later, click Edit.
Restriction: Surveys can only be edited when an Ad Hoc survey is in a draft state. For more information, see Ad Hoc surveys screen.

When creating and editing an Ad Hoc survey, consider:

  • Survey and fields created within an Ad Hoc survey are not shared between two separate Ad Hoc surveys nor with non-Ad Hoc surveys.

  • Fields created via Ad Hoc surveys are not available in non-Ad Hoc surveys created through Admin Suite Surveys. Similarly, fields created via Surveys are not available in surveys created through Ad Hoc surveys.

  • When piping-in fields within questions, you can only choose fields that belong to the Ad Hoc survey you are in, as well as all Unit fields and Unit group fields in the instance (for example, Unit name (u_name) and Unit group name (ug_name)).

  • When using Page logic, Content logic and Content group logic , Rule builder only shows fields that belong to the Ad Hoc survey you are in.

  • Changes in Grid choice sets (custom list type) affect every instance that uses the same question and choice set within the survey.

  • Changes Multiple choice - one, Multiple choice - many and Dropdown affect every instance that uses the same question and choice set within the survey.

Tip: You can configure Automatically completing surveys for Ad Hoc surveys and download partially completed surveys using Exporters.
Restriction: Although this survey editor is almost the same as the one used in Admin Suite Surveys, you cannot:

Look & feel

Once the survey is created, choose a design and, optionally, a variation to brand the survey. Note that all v7 survey designs are available to choose. For more information, see Survey designs.

Click Save to preview the survey or Clear changes to select another design or variation.

Main score

Main score measures the interaction as a whole. The main score question is a Rating scale element and it is displayed at the top-left in Responses in the form of a smiley-face and its expression and color vary based on each survey taker's choice. For example, if the question chosen as the Main score is How likely are you to recommend our store? and the answer is 7, then main score face is neutral and in yellow color. For more information, see Results.

Text Analytics

Text Analytics derives meaningful insights from unstructured text feedback, which is an essential resource for discovering and prioritizing potential improvements to the experience as a whole. When respondents comment about their frustration with a long line, disappointment with the product selection, or appreciation for an associate who helped them find exactly what they needed, their feedback provides important clues about the interactions shaping their experience. For more information, see Text Analytics.

For Ad Hoc surveys, you may apply all of the existing topics in your instance. Topics categorize response text from the Text entry into topics and apply sentiment analysis to detect whether each sentence is strongly positive, positive, mixed opinion, negative, strongly negative, or has no opinion.

To select a topic, click Add icon. Add under Topic sets and choose the topic(s) to apply to this survey. In this example, selected topics include Telco, Digital, and Retail store, as those are related to the purpose of the survey and the company industry.

Restriction: Text Analytics is only visible if available on your instance. Contact your Medallia representative for more information.

Note that when modifying the Topic sets, changes are applied after the Ad Hoc survey is published and it only applies to the new responses.

Preview a survey

After choosing and saving a design, a quick preview is automatically loaded showing how the survey looks and feels for survey takers. Click Preview to open the survey in a new tab and, optionally, experience how to respond the survey as well. When selecting a new design or variation, make sure you click Save to get the updated preview.

Click the Preview button or hover over the survey thumbnail.

You can also preview the survey from the survey editor by clicking Preview from its canvas. This shows the survey with the design previously chosen and, if none was selected, one of the available designs is randomly assigned. For more information, see Survey preview in Survey editor.

Important: Ad Hoc surveys are not listed on the Surveys screen.
Tip: Previewing the survey from Ad Hoc surveys creates a generic URL: doing this for one Ad Hoc survey overrides this generic URL from the previously previewed Ad Hoc survey. To obtain a unique URL per Ad Hoc survey, preview it from the survey editor.
