Results

Results show all Ad Hoc survey collected responses for in an out-of-the-box, non-editable report. It displays information about responses to the survey using four different views:

Results include Summary, Responses, Pivot table, and Survey health views.

To open the results screen, click View Results on the Ad Hoc survey details pane:

Click "View results" on the Ad Hoc survey's details pane.

Important: Results do not include data used in Advanced testing and they are not available when an Ad Hoc survey is in a draft state. See Ad Hoc surveys screen for details on their different statuses.

To see Ad Hoc survey results from Medallia Web reporting, navigate to the Switch app icon Application switcher and choose Ad Hoc:

Access the application switcher from the web report and select Ad Hoc from the list.

Summary

Summary view displays a header with key information — the Ad Hoc survey name, launch date, user that created it, and the number of responses — as well as each response separately to quickly aggregate results. Questions in the survey are visualized individually, following the same order as in the survey.

Note: Summary view matches the data of the latest survey configuration. However, you can access questions that were in prior survey variants from Pivot table.

If Medallia Text Analytics is available in your instance and you selected at least one topic when configuring the survey, the Summary of topics visualization displays how you are performing across multiple areas, based on responses received from survey takers. Use this module to see multiple topics at once, for an overall look at your survey feedback. It analyzes multiple topics at once to reveal insights specific to a selected set of topics.

Each survey question is a Feedback field with a specific data type, which determines the data visualization in the Summary view as follows:

  • For Choice set data type (as in Multiple choice - one, Multiple choice - many, Rating scale, Grid, Dropdown, and Ranking order), it shows the distribution of responses to each choice, displaying the percentage of responses for each option. You can display data in a table or horizontal bar chart.

  • For Integer and Fractional data types (as in Number entry), question data is displayed as an average of the values to that question. Mouse over the big number in the chart to see more detailed data, including the sample size.

  • For Date, Datetime and Time data types (as in Date), it shows the count of responses to that question. For example, it would show 2 only if 2 survey takers out of 10 provided the date of the conference.

  • For Text, Comment, and Email data type (as in Text and Text entry), question data is displayed as a summary of verbatim comments from survey responses.

Responses

Responses displays the full survey responses for each survey taker. It presents individual responses as a feed, with each response collapsed for quick scanning of responses that need attention. Click Expand to see the complete feedback for that response.

Responses view includes:
  • Main score — It represents the Main score response in the form of a smiley-face. The colors and categorization of responses are based on a Net Promoter Score. With NPS, detractors are responses with a score equal to or less than 6, and are colored red. Passives are responses of 7 or 8, and are colored yellow. Promoters are responses of 9 or 10, and are colored green. See Main score for more details.
  • Contact name — It displays the respondent's name. By default, it uses First name and, if available, it shows Last name as well.

  • Comment — It shows the answers of all open questions, that is, questions using Text element. Comments are separated by question, following the survey order. Comments are Feedback fields of Text data type.

  • Survey scores — It shows the answers of all scale questions, that is, questions using Rating scale or Grid elements. Survey scores are separated by question, following the survey order. Survey scores are Feedback fields of a Integer or Fractional data type.

  • Survey details — It displays additional event information, as well as the name, response and creation date, and the Unit ID. Survey details are Event fields.

  • Personal information — It shows information about respondents, such as their Email, First and Last name, etc. Survey details are Contact fields.

    Restriction: Comment, Survey scores, Survey details, and Personal information allows up to 100 fields each.

Exporting responses

You can export a local copy of the Responses through the More vertical icon Responses view menu:

Export options include PDF, Image, CSV, Excel and Copy embed code.

Exports that contain responses can take several minutes. During that time, you can monitor the export progress by clicking the Ad Hoc Survey Exports badge on the left navigation bar, and can navigate freely through the different views without interrupting the export process. When the export is ready to download, click Download to download the export copy or Cancel to remove it. For example, this image shows an Excel export ready to be downloaded:

Export statuses may be:
  • In progress — Export queue is in progress. If canceled, it removes the export from the list.

  • Ready to download — Export is ready to be downloaded or canceled.

  • Failed — Export failed. If canceled, it removes the export from the list; if restarted, the export process is triggered again.

Restriction: Concurrent exports are limited to 7 per user (including all their roles).

Pivot table

A Pivot table allows to analyze data quickly, by getting any cut of data. Pivot table can use any calculation of a numeric field to tabulate data for row and column variables the you select. For example, this image shows a pivot table with Team as rows, and Made Purchase? as columns. The scale question measured is How likely are you to recommend Think CX Sydney to a colleague?, and the calculation used is NPS. With these selections, you can see quickly which team has the highest NPS whether they made a purchase or not.

Warning: if there is no calculation to perform (that is, if the Ad Hoc survey does not have any questions where choice set item have numeric values), Pivot table does is not displayed.

Select different rows and columns to display, as well as different questions to measure by various calculations (Average, NPS, Count). For example, this image shows a the same pivot table, but it shows Networking opportunities question, measured as count.

Restriction: Available rows and column options allow up to 200 Contact, Event, or Feedback fields, which may be segmented in that order. Metrics for aggregations (that is, survey questions/Feedback fields that have numeric values) can be up to 50.

Survey health

Survey health monitor how the Ad Hoc survey is performing. It shows real-time, detailed information about the health and adoption of the survey, that is, how invitations are performing.

Survey health show the distribution status of your Ad Hoc survey. You can choose from funnel chart, table and line chart visualizations, each of which provides a different way to understand the data. The funnel chart, which provides much of the same information as the table view, but with more visual cues, shows how discards and opt-outs affected the processing of data import.

The table view includes:
  • Records received — Parent row for the total number of records received. Each of the following child rows show how many of those records were processed out:
    • Discarded - Duplicates — Number of records discarded due to duplication.

    • Discarded - Other — Number of records discarded for other reason rather than duplication.

    • Sampled out - Opt Out — Number of records sampled out because the recipient had already opted out.

    • Sampled out - Sample filter — Number of records sampled out matching a sample filter.

    • Sampled out - Quarantine — Number of records sampled out because the recipient is under quarantine.

    • Sampled out - Inactive unit — Number of records sampled out matching an inactive Unit.

    • Invites created — Number of Invitation emails created (Records Received number minus the Discarded and Sampled Out numbers).

  • Total invitations sent — Parent row for the total number of invitations sent, including:
    • Invitations failed.

    • Invitations bounced.

  • Total surveys delivered — Total number of actual Invitation emails sent.

  • Total survey responses — Total number of surveys responded.

  • Email open rate — Percentage of recipients that opened the Invitation emails.

  • Response rate — Percentage of recipients that responded the survey.

  • Opt out rate — Percentage of recipients that opted out, as well as the raw count.

Tip: Survey health uses the Health Check Distribution module to build this view. Note that data from Records received is based on the Feed file processing report, and not on the uploaded file records. You can filter data in this section using only the Timeperiod filter in the control panel.

Control panel

Results have a control panel at the top to filter and organize the data shown in the different views. These filters allow for seeing results for a particular group of respondents or to pre-filter the Responses export. You can select field values to filter results and, as you make selections, many of the the remaining fields adjust dynamically so that only applicable options are available.

Control panel shows four filters: Time Period, Reporting Date, Source of this Survey, and Custom Group.

Results come with these filters:

  • Time period — A span of dates, defined by literal or relative start and an end dates, and calculated at the time of use. By default, the timeperiod filter includes the full data set for the survey and it is set to the launch date of the survey until the current date.

  • Reporting date — Date of the survey response. Some users may be set up to use the date the Invitation email was sent, or another date field as configured on the instance. For more information, see Time Fields.

  • Custom group — Filter data by a group of questions, allowing to see data for each survey question in the group, as well as aggregated data for that group. Custom groups are visible only for roles with the appropriate reporting permissions.

  • Additional filters — Survey questions and any other fields from the survey.

Medallia fields with Contact or Event category with Choice set Data typemay appear as filters between Reporting date and Additional filters:

'Team' and 'Made purchase?' filters between Reporting date and Additional filters.

Restriction: Contact or Event category fields with Text Data type are not supported.

Filters are persistent across all views. For example, when you filter the Responses view, your selections remain when you open a different view. Click Run to apply your filter settings to all views or Reset to revert to the default filter settings. Note that you can click Save filter to store the current filter selection and apply it later.

Share results

Share results allows for choosing one or more users in Medallia Experience Cloud to share results with. When sharing these results, target users can see all data from the shared survey directly from Experience Cloud no matter what role(s) and data access permissions they have configured. For example, a user that has an Executive role with access to only one department can see the shared results even if those include data from other departments as well.

Restriction: You can only share results with users that have a Medallia Experience Cloud user account.

Click "Share results" button to select the users you would like to share the results with.

To share results:

  1. From Ad Hoc surveys screen, click Share results on the Ad Hoc survey details pane.

  2. Click the dropdown menu under Share with and search for the user(s) you would like to share the results with and, optionally, enter the message the users see in the body of the email.

  3. Click Share to send an email to selected users. They receive an email from Medallia with a link to access results and they get listed under the Sharing tab from the details pane.

To prevent the target users from accessing the results, click Revoke next to the user name on the Sharing tab to remove their access.

Click 'Revoke' to remove access to the user that have been shared the results with.

Use Ad Hoc survey data in role-based reports

Use your Ad Hoc survey data to build your own reports and modify existing ones to see responses outside Ad Hoc survey results non-editable report. For example, you might want to have a Dashboard showing a Dial for each existing Ad Hoc survey, and you want to add a new Dial module for a newly set up survey in the same dashboard.

You can use all the fields in Ad Hoc surveys (exposed in surveys, email invitations and the uploaded file, if any) on a report-by-report basis. See Create Web or Mobile dashboards and modules, Invitations reports, Responses reports, and Satisfaction reports for details on how to enable data access in your dashboard modules and reports.
Warning: Make sure that Isolation record type field is set to AD_HOC_PROGRAM to view Ad Hoc survey records within reports. By default, Ad Hoc surveys data is excluded from the user's data access.

Additionally, you can export the fields by creating your own exports. For more information, see Exporters.

To use Ad Hoc surveys data in a report:

  1. From the report dashboard, select the Settings tab.

  2. From Programs, click Add program to select the Ad Hod survey(s) for the report.

  3. From the report dashboard, select the Filters tab.

  4. Click Show advanced filters settings.

  5. Select Include data from Ad Hoc surveys.

  6. Click Save.

Select the Ad Hoc surveys in the Programs section on the Settings tab and on the Filters tab.

Tip: When selecting fields in modules, search by field name to find those used in an Ad Hoc survey.
