Updating contacts
It is possible to import additional fields to existing contacts or to change already imported fields, even when your survey is live or already closed.
Your contacts will not receive a new invitation.
Updating a single contact
If you only need to change the details of one or two contacts, you can edit them individually.
- Open your survey.
- Select Distribute, then select Email, Paper, or SMS.

Select Contacts.

Select Edit contact from the Actions dropdown next to the contact that you want to edit.

Change the necessary fields or add information to empty fields.

Click Save.
The contact will now be updated, and the changes are immediately visible in the survey and reports. Repeat these steps for other contacts if necessary.
Updating an entire list of contacts at once
If you need to update all of your contacts or a big list of contacts, all you need to do is import these contacts again with the correct information.
- Open your survey
- Select Distribute, then select Email, Paper, or SMS.
Select Contacts.
- Click Contacts.
- Click the download icon the top right corner to export your contact list. If you only need a selection of your contacts, filter the contact list first before exporting the list.
- You will now receive a .csv file containing all of your contact data. Correct or add the necessary data
- Save the file to your computer as an .xlsx file.
- Go back to the contacts overview in the survey and click New contact > Import from a file.
- Select the file with your updated contacts on your computer, or drag the file here.

Click Upload.

Select the worksheet with your updated contacts.

Using the dropdown menu above each column, identify all columns you wish to import. Since you have used an exported file as a base, most columns will already contain the correct field name.Important: Make sure to always select the ID field. It is this field that identifies the existing contacts and makes sure that this list isn't turned into a list of new contacts.

Select the row number you want to start the import from and click Continue.

In the Options tab you can do any of the following changes:
Set the default language (only applied if no language column was selected).
Add/modify the expiration date.
Apply cooldown rules.
Rename custom fields.

Click Continue.

You can save this import as a new import configuration or update an existing one.

Click Continue.

Verify all selected settings in the final step. Confirm and click Start import.
All existing contacts will now be overwritten with the changes you have made. This action has no influence on your existing contacts' statuses, meaning they will not receive a new invitation or reminder, nor will their responses be removed or overwritten. If there were entries in your file that did not have an ID, these will be added as new contacts and they will receive an email invitation, provided the survey is live.
Once the import is complete, you will receive a confirmation email. In the meantime, you can continue working in the tool.
