Contact lists
Create contact lists to invite people to multiple surveys.
A contact list is a reusable group of contacts that you can invite to multiple surveys. You can enter contacts manually or upload them from a file. You can use contact lists to easily distribute multiple surveys to the contacts on the list without having to import a file over and over again.
Creating a contact list
- Select Account > Contacts.
- Select Contact lists.
- Click Create new contact list.
- Give the list a name and, optionally, a description, and click Create.
Importing contacts into a contact list
- Select Import from the Actions dropdown next to the contact list from which you want to import contacts. Or open a list and select Import from file from the Add contact manually dropdown.
- Select your file and click Upload.
- Select the columns that you want to import and click Continue.
- If your list also contains contacts without an email address, select Yes for Import rows without an email address?
- Select the default language. This language will be used if you didn't select a language column or if there are blanks in the language column.
- Click Continue.
- Select whether or not you'd like to save this import as a configuration. An import configuration contains all the settings for an import including the column mappings and how your data should be handled. You can still make changes each time. If you import the same kind of file regularly, you can save your configuration and reuse it later.
- Click Continue.
- The next page shows an overview of all of your selections. You can still go back and make changes if necessary. If all is ok, click Start import.
You can continue working while the import is running. You'll receive an email as soon as the import is finished with an overview of the number of contacts successfully imported and, if any were unsuccessful, the reason why.
Update contacts that are already in a list
In order to mass-update contacts in a list, simply export the entire list into excel, make your changes and import the file again. The correct fields will automatically be selected based on the headers in excel.
Sharing a contact list
You can share contact lists with other users in your account. That way, you're in full control of who can access a particular list and who can't. Controlling access to personal data is essential, considering General Data Protection Regulation (GDPR).
The account administrator or user administrator can always give access to contact lists via the Users menu, but you can share your own lists with others as well by following these steps:
- Go to the contact list.
-
Select Share from the Actions dropdown next to the contact list.
-
Select everyone with whom you want to share the list. Click Save.
I don't see the 'Contact lists' option?
See Not seeing the “Contacts” option for details.
Are contact lists the same as the old 'Groups'?
The contact lists are entirely different from Groups, in the following ways:
- Contact lists are not required anymore. If your target group and/or metadata change with each survey, import contacts directly by uploading a file. There's no need to create a list. Lists are only of value when you use contacts with the same metadata over and over.
- There are no folders anymore. All lists are immediately visible from the Contact Lists page.
- An email address can exist only once in the same list. Files that you import into a list will automatically strip doubles. If you need an email address more than once in a particular survey, import your file directly into that survey.
- Restrict access to a list. You decide who can see your list and who can't. If, for any reason, someone is not allowed to have access to the list you're creating, don't share it with that person. They won't be able to see it. If you share your list with someone, that person be able to see and modify it from within their own account.
